Description
House Manager and Family Assistant
Location: Nashville, TN 37215
Employment Type: Full time, 40 hrs/week
Schedule: Monday–Friday with flexibility for occasional evening or weekend support based on household needs, guests, travel, or special projects
Compensation: $75,000–$85,000 annually, based on experience

Requirements
- Prior experience managing a private household required; 5–7+ years of professional household management experience strongly preferred

We lead growing businesses and frequently work from home, with creative projects, content production, team members, and occasional filming taking place throughout the property. We already work with a network of trusted support, including cleaners, dog-care professionals, landscapers, maintenance vendors, and other service providers. We are seeking a House Manager who can serve as the connective thread across these relationships—keeping projects moving, maintaining standards, communicating clearly, and ensuring details do not fall through the cracks.

Since both principals frequently work from home, the ability to operate independently, respect privacy, minimize unnecessary interruptions, and provide clear visibility into priorities and progress is essential.

Key Responsibilities
Household Management & Organization
- Create, maintain, and continually improve functional household organization systems throughout closets, pantries, storage areas, guest spaces, offices, and shared living areas.
- Complete thoughtful daily resets to ensure the home remains polished, welcoming, organized, and guest-ready for family, visitors, meetings, or filming.
- Load and unload the dishwasher, reset the kitchen, wipe surfaces, vacuum high-traffic areas, and complete light daily tidying that keeps the household operating seamlessly.
- Conduct regular walk-throughs to proactively identify maintenance needs, organizational opportunities, safety concerns, or hospitality details requiring attention.
- Coordinate donation drop-offs, seasonal clothing and décor rotations, and ongoing household organization projects.
- Maintain indoor plants and oversee the presentation of all interior living spaces.
Hospitality & Guest Readiness
- Maintain the residence and guest house in a consistently polished, welcoming, and guest-ready condition.
- Prepare guest bedrooms, bathrooms, linens, amenities, lighting, and thoughtful hospitality details prior to arrivals.
- Support guest arrivals, departures, travel preparation, unpacking, and household transitions with thoughtful attention to detail.
- Complete guest-space resets following departures and ensure the home is always ready to welcome family, friends, or business guests.
- Prepare common areas, outdoor spaces, and entertaining areas for gatherings and special occasions.
- Add thoughtful finishing touches that reflect the family's hospitality style and create a warm, elevated experience for every guest.
Inventory Management & Errands
- Maintain household inventory across pantry, refrigerators, toiletries, cleaning products, laundry supplies, pet items, and household essentials.
- Proactively restock supplies and maintain organized household supply lists.
- Coordinate and manage recurring household purchases, subscriptions, and online orders through Amazon, Costco, Target, and other preferred vendors.
- Complete household errands including grocery shopping, returns, dry cleaning, gift purchasing, shipping, and specialty errands as requested.
- Receive, unpack, organize, and distribute deliveries while maintaining organized storage areas and breaking down boxes.
- Sort mail, coordinate package deliveries, and help maintain organized household paperwork.
Meal Planning & Preparation
- Prepare fresh, healthy meals, snacks, and grab-and-go options that support the family's busy lifestyle and preferences.
- Maintain a clean, organized, and well-stocked kitchen, pantry, and refrigerators.
- Coordinate grocery shopping and ensure ingredients, pantry staples, beverages, and household essentials remain stocked.
- Maintain kitchen organization, appliance care, and thoughtful resets following meal preparation.
- Ensure guest beverages, snacks, coffee, and hospitality items are always stocked and ready.
Laundry & Linen Care
- Wash, dry, fold, steam, and organize household laundry, including clothing, towels, bedding, guest linens, and specialty garments.
- Follow family-specific garment care instructions and organization preferences.
- Rotate bedding, towels, and household linens on an established schedule.
- Maintain beautifully organized linen closets and laundry spaces.
- Coordinate dry cleaning, specialty garment care, and seasonal wardrobe transitions.
- Keep laundry supplies fully stocked and laundry systems operating efficiently.
Pet Care
- Provide loving day-to-day care for the family dog, including occasional walks, companionship, and pet sitting as needed.
- Coordinate veterinary appointments, grooming, boarding, and pet-related logistics.
- Maintain pet food, treats, medications, toys, and household pet supplies.
- Help maintain a clean, welcoming home environment through thoughtful daily pet care and cleanup.
Vendor & Property Oversight
- Serve as the primary point of contact for household vendors, contractors, and service providers, ensuring projects are completed with professionalism and attention to detail.
- Schedule, coordinate, and oversee cleaners, landscapers, pool professionals, pest control, maintenance professionals, and specialty vendors.
- Research, vet, and obtain estimates for repairs, maintenance, and household improvement projects, providing thoughtful recommendations that balance quality, urgency, and budget.
- Build and maintain trusted relationships with preferred vendors while holding them accountable to the family's standards.
- Conduct regular property walk-throughs to proactively identify maintenance, safety, organizational, or aesthetic opportunities before they become larger issues.
- Coordinate preventative maintenance, seasonal home care, and recurring services, including HVAC servicing, irrigation, gutter cleaning, exterior maintenance, and other property needs.
- Oversee the presentation and upkeep of the residence, guest house, gym, garage, outdoor living spaces, and surrounding property.
- Maintain organized records of vendors, warranties, service schedules, and ongoing household projects while keeping the principals appropriately informed of progress and recommendations.
Personal Assistant Support
- Assist with travel planning, itineraries, packing, unpacking, and preparing the home before departures and upon return.
- Coordinate household calendars, appointments, service visits, and family logistics as requested.
- Support gift purchasing, gift wrapping, special occasions, and thoughtful family touches throughout the year.
- Maintain organized household records, manuals, warranties, receipts, and important home documentation.
- Coordinate reservations, appointments, and family services while proactively tracking important deadlines and recurring household needs.
- Help protect the principals' time by proactively managing household logistics, creating visibility into priorities, and reducing decision fatigue.
- Support special projects and evolving household initiatives with flexibility, professionalism, and a solutions-oriented mindset.
