Are you an organized, detail-oriented administrator who enjoys working in a fast-paced construction environment? Our client is a well-established multi-trade contractor delivering commercial, institutional, and industrial (ICI) construction projects across SW Ontario. As their project portfolio continues to grow, they are looking for a Project Administrator to provide administrative and project support to their operations team.

What You'll Be Doing
- Maintain project documentation including RFIs, submittals, change orders, contracts, permits, and closeout documents.
- Assist with document control to ensure all project records are accurate, current, and properly filed.
- Support project managers with purchase orders, invoicing, expense tracking, and basic project budgeting.
- Coordinate communication between project managers, clients, consultants, subcontractors, and suppliers.
- Schedule meetings, site visits, inspections, and project-related appointments.
- Prepare reports, meeting minutes, and project correspondence.
- Assist with project setup, closeout, and ongoing administrative tasks throughout the project lifecycle.
- Manage office files, supplies, and general administrative workflows.
- Provide reception and clerical support as required.
- Help ensure projects remain organized and on schedule by proactively following up on outstanding documentation.
What We're Looking For
- 3+ years of administrative experience within the construction industry (ICI experience preferred).
- Previous experience supporting Project Managers or Operations teams is considered a strong asset.
- Strong document control and organizational skills.
- Experience with purchase orders, invoicing, and basic financial tracking.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities while meeting deadlines.
- High level of accuracy and attention to detail.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Experience with construction management software such as Procore, Jonas, Viewpoint, Autodesk Construction Cloud, or similar is an asset.
