Job summary
The Showroom Operations Coordinator is responsible for providing high-quality operational, administrative, facilities and coordination support to ensure the London showroom operates safely, efficiently and consistently to MillerKnoll standards. The role combines day-to-day operational coordination with proactive facilities support, administrative management, supplier coordination, showroom readiness and continuous improvement.
Responsibilities
Showroom Operations & Experience
- Open and close the showroom in accordance with established procedures, ensuring the space is secure, operational and ready for business.
- Conduct regular walkthroughs of showroom and office areas, ensuring high standards of presentation, functionality and safety are maintained.
- Identify and assist with resolving or escalating issues affecting furniture, lighting, technology, facilities, cleanliness or the overall employee and client experience.
- Ensure meeting rooms, shared spaces and operational areas are appropriately prepared and maintained.
- Support showroom preparation for client meetings, events, tours and other business activities.
- Coordinate deliveries, collections, couriers and the movement of materials throughout the showroom.
- Support furniture moves, product changes, mock-ups, installations, relocations and showroom refreshes.
- Maintain operational logs, checklists and trackers and follow up outstanding actions.
- Support the implementation and continuous improvement of showroom operating procedures and global standards.
- Support the maintenance of an environment that reflects MillerKnoll's design, brand and customer experience expectations.
Facilities, Suppliers & Showroom Projects
- Assist with coordinating day-to-day facilities requirements, including maintenance, repairs and servicing of showroom and office equipment and furniture.
- Track supplier and contractor actions, follow up outstanding works and escalate performance issues where required.
- Support cleaning, waste management, environmental services and other building-related requirements.
- Assist with coordinating works that may disrupt showroom operations, minimising impact on employees, clients and visitors.
- Support showroom improvement projects, installations and product changes from planning through to completion.
- Assist with coordinating contractors, deliveries and internal resources required for showroom projects.
- Work with cross-functional teams including Brand Creative, Places, IT, Facilities, Marketing and Sales to support operational and showroom initiatives.
- Support the identification of practical opportunities to improve showroom operations, processes and ways of working.
Health, Safety & Business Continuity
- Support compliance with company Health & Safety requirements and relevant UK legislation.
- Assist with risk assessments, workplace inspections and periodic reviews.
- Identify and escalate hazards, unsafe conditions or compliance concerns.
- Support contractor safety requirements, emergency procedures, drills and training.
- Assist with business continuity and emergency preparedness arrangements.
Administration, Inventory & Business Support
- Provide day-to-day operational and administrative support to the Showroom Manager.
- Maintain calendars, schedules, trackers, reports and operational documentation.
- Monitor shared mailboxes and coordinate requests with the appropriate teams.
- Coordinate travel, accommodation, meetings and other bookings as required.
- Prepare reports, presentations, spreadsheets and other business documentation as required.
- Assist with invoices, quotations and other administrative processes.
- Monitor stock levels of stationery, office supplies, marketing materials and operational consumables, coordinating approved orders when required.
- Coordinate the receipt, storage and distribution of supplies and maintain organised storage areas.
- Support inventory checks and maintain records of furniture, equipment and other operational assets.
- Assist with the relocation, replacement or disposal of assets as required.
- Maintain confidentiality when handling sensitive business information.
- Assist with ad hoc operational tasks as requested by the Showroom Manager.
