- Own SOW drafting and pricing standardization across different client needs, from initial draft through final scope.
- Serve as the first point of contact for incoming client and business development inquiries, ensuring fast and professional responses.
- Support account management and client relationships, including participating in client calls when needed.
- Draft, send, and track contractor agreements and related documentation, including Work for Hire agreements, NDAs, and payment setup.
- Support onboarding and training for new hires and contractors on internal tools, systems, and workflows.
- Own and oversee internal technical systems and workflows, including databases, intake forms, email systems, and payment platforms.
- Ensure internal systems are maintained, documented, and easy for the broader team to use.
- Train team members and contractors on internal tools and maintain documentation to prevent knowledge from becoming siloed.
- Monitor, triage, and respond to company emails.
- Manage operational and administrative tasks, including vendor coordination, payment workflows, and scheduling.
- Partner closely with the Account/Project Manager, maintaining a clear division of responsibilities between scoping and execution.
- Identify and implement efficiencies across the business, including operations, resourcing, and presentation/deck creation.
- Agency-side Account Director or Operations Manager experience is a plus, particularly within advertising, marketing, or creative agencies.
- Experience in operations, account management, project management, or a similar role.
- Strong understanding of SOWs and pricing structures, with the ability to apply sound judgment and standardize processes without relying on a template for every situation.
- Fast, proactive communicator who keeps stakeholders informed before they need to ask.
- Highly independent and comfortable working with minimal day-to-day supervision while remaining responsive and visible.
- Comfortable working in a lean, fast-moving environment where priorities can shift quickly.
- Confident owning technical systems and workflows, including databases, forms, email, and payment platforms, and training others to use them.
- Strong organizational and multitasking skills with excellent attention to detail.
- Familiarity with tools such as Claude, Anthropic, Airtable, Asana, Slack, Google Workspace, and Typeform is a plus.
- SOWs move from client request to finalized scope quickly because you own the pricing and scoping process.
- Client-facing requests receive same-day acknowledgment and timely follow-up.
- You proactively communicate what’s happening, what’s blocked, and what’s next.
- Recurring processes such as pricing, contracts, and onboarding become increasingly structured and standardized.
- Internal systems and workflows are well documented, maintained, and easy for the team to use.
- You manage multiple priorities effectively while maintaining a high level of accuracy and attention to detail.
- You become a reliable operational partner who helps the business run more efficiently and allows leadership to stay focused on strategy and growth.
- Part-time: 24–30 hours per week
- Monday–Thursday, with core hours overlapping 9:00 AM–3:00 PM PST
- Friday: approximately 2–4 hours, coordinated with the team
