Some of the responsibilities you will own in this role:
- Welcome clients and patients with empathy, professionalism, and compassion
- Manage patient check-ins and check-outs efficiently
- Answer questions and address client concerns promptly
- Provide updates and facilitate communication between clients and veterinary staff
- Deliver exceptional customer service during emergency and specialty visits
- Process payments, invoices, and point-of-sale transactions accurately
- Maintain financial records and documentation
- Assist with appointment scheduling and specialty referrals
- Prepare and maintain accurate medical records
- Ensure confidentiality of client and patient information
- Explain treatment plans, discharge instructions, and follow-up recommendations
- Educate clients regarding medications, preventive care, and ongoing treatment needs
- Support clients through emotionally challenging situations with empathy and professionalism
- Escalate concerns appropriately when needed
- Coordinate with veterinarians, technicians, and support staff to ensure seamless patient care
- Assist with communication during emergency situations
- Help maintain an organized, efficient, and welcoming reception area
- Primarily weekday day shifts
- One weekend shift per week required
- Holiday availability may be required
- Flexibility with scheduling preferred
Preferred Qualifications
- At least 1 year of veterinary client service or veterinary receptionist experience
- Emergency, specialty, or urgent care veterinary experience is a plus
- Strong customer service background with a proven ability to manage challenging situations professionally
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Attention to detail and accuracy
- Experience with point-of-sale systems and financial transactions
- Ability to remain calm and compassionate in a fast-paced emergency environment
- Comfortable working independently and collaboratively within a team
- High school diploma or equivalent required
- Associate degree or higher is a plus
- Passion for helping pets and their families
- Positive attitude and team-oriented mindset
- Dependable, professional, and adaptable
