The Department of Laboratory Medicine & Pathology has an outstanding opportunity for a Research Study Coordinator 1 to join their team.

About this Opportunity

The Research Study Coordinator with NW Biospecimen/NW Biotrust is the go-to person connecting clinical trials and translational research teams with Anatomic Pathology labs. This position manages the flow of archival specimens, coordinates compliance requirements, and keeps research projects moving — all while working directly with real patient specimens and health information. This requires the incumbent to adhere closely to HIPAA and CLIA regulations under the guidance of certificate holders and lab management. This role has “dotted line” reporting to the CLIA certificate holders and applicable laboratory management staff.

This is a full-time day shift position located at the University of Washington Medical Center – Montlake campus. The specific work schedule will be discussed with the hiring manager.

Key Responsibilities

Coordinate specimen and research workflows 

  • Process research case requests across all Department of Laboratory Medicine and Pathology labs — accessioning, verifying, assigning, and finalizing work orders 
  • Retrieve and return pathology materials from onsite slide rooms; manage offsite storage requests and track materials through UW Medicine Archives and Iron Mountain 
  • Audit archival material movement using systems like Beaker and LabMatrix 

Be the compliance and liaison hub 

  • Partner with researchers to build Statements of Work and budgets, ensuring IRB approvals, patient consents, pathology reviews, and CLIA authorizations are all in place 
  • Serve as the bridge between researchers and Anatomic Pathology labs, ensuring every request meets clinical, regulatory, and research standards 
  • Query clinical data systems to pull biospecimen clinical annotation data 

Manage the business side 

  • Process and reconcile technical research charges; generate reports for invoicing and receivables 
  • Advise investigators, grant managers, and coordinators on registration, billing, and process questions 
  • Maintain databases, forms, and tracking systems using Microsoft Office and research software 

Support the broader program 

  • Represent the Research Cost Center at study start-up meetings and cross-departmental discussions 
  • Coordinate scheduling and meetings for the Cost Center/recharge program 
  • Train team members on Research Charge Center processes 
  • Help promote research programs to outside organizations 

Required Qualifications

Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

Minimum Qualifications

Two years of college level course work in a relevant academic area AND two years of experience performing work in support of clinical, biomedical, or behavioral research studies involving human subjects.

Additional Qualifications

  • Strong organizational, communication, and collaboration skills 
  • Comfort with detail-oriented, repetitive work in a regulated environment 
  • Fluent English and solid computer skills (Word, Excel, Access)

Compensation, Benefits and Position Details

Pay Range Minimum:

$45,144.00 annual

Pay Range Maximum:

$57,252.00 annual
