WHAT YOU’LL BE DOING
The Administrative Coordinator will play a key role in providing administrative support to executives while also handling essential HR coordination tasks. This hybrid role requires a detail-oriented individual who can manage multiple responsibilities efficiently and with professionalism.
Requirements
ESSENTIAL FUNCTION
Administrative Support:
- Manage executives’ calendars, schedule meetings, and coordinate travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Handle phone calls, emails, and other communications, ensuring timely responses.
- Organize and maintain filing systems, both electronic and physical.
- Assist in preparing meeting agendas and taking minutes during meetings.
- Coordinate office events, including team-building activities and client meetings.
HR Coordination:
- Assist with onboarding and orientation for new hires, preparing materials and training.
- Support recruitment by posting job openings, screening resumes, and coordinating interviews.
- Maintain employee records and update HR databases.
- Assist with benefits administration, including enrollment and inquiries.
- Help manage employee leave requests and track attendance.
- Support HR Director with company events and initiatives and other tasks as assigned.
- Bachelor’s degree or 3 to 5 years’ prior experience in supporting a senior executive or team
- Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
- Exceptional writing, editing, and proofreading skills
- Excellent organization and time-management skills
- Ability to maintain and promote confidentiality and integrity.
- Ability to pay great attention to details.
QUALIFICATIONS
- High school diploma or equivalent; associate or bachelor’s degree in business administration, Human Resources, or related field preferred.
- 2+ years of administrative experience, with a background in HR or a related field highly desirable.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Discretion and professionalism in handling sensitive and confidential information.
- Excellent organizational skills with the ability to multitask and prioritize tasks effectively.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team in a fast-paced environment.
- Experience with HR software or systems (e.g., HRIS) is a plus.
