Job Description
Responsibilities
- Champion safety and environmental protection as core values in all activities.

Prepare monthly, weekly and quarterly reports, as well as meeting agendas, for the team.

Support the preparation and coordination of TMSA audits.

Compile and analyse raw data and prepare presentation slides for Quarterly Management Reviews (QMRs) and quarterly alerts.

Assist the Line Manager with ad hoc tasks and assignments as required.

Provide comprehensive administrative support to the Marine HR team across all relevant functions.

Assist with interview scheduling and liaise with relevant departments throughout the candidate-selection process.

Coordinate virtual and physical office briefings for vessel officers, including the necessary logistics and accommodation arrangements.

Monitor and coordinate the distribution of anniversary awards and priority passes.

Maintain accurate documentation and conduct follow-ups for crew P&I claims, seafarer medical cases and shore-based health insurance matters.

Support the Marine HR Director with various initiatives, projects and other assignments as required.

Serve as a backup for the Marine Personnel Officer based in Singapore.
Requirements
- Diploma in Business, Maritime Studies or a related discipline; relevant administrative experience will also be considered.

Demonstrated ability to respond to customers professionally, positively and effectively.

Proficiency in Microsoft Office applications.

Strong time-management and organisational skills, with excellent attention to detail and the ability to manage urgent tasks effectively.

Self-motivated and adaptable, with the ability to manage multiple priorities and work independently with minimal supervision.

Excellent interpersonal and communication skills, with the ability to collaborate effectively in a team environment.

Familiarity with COMPAS software would be an advantage.
- Working knowledge of maritime regulations, including the Maritime Labour Convention (MLC), Standards of Training, Certification and Watchkeeping (STCW), and Collective Bargaining Agreements (CBAs).
