What this job involves:
As the Program Delivery Coordinator, you will provide essential operational support to ensure seamless delivery of events and programming in service of the Amazon Global Real Estate and Facilities (GREF) client. You will support the Senior Program Delivery Coordinator (Sr. PDC) in all phases of event coordination, including intake, logistics planning, vendor communication, and on-site execution while ensuring every event reflects excellence and professionalism. You will manage event setup and breakdown logistics, ensuring spaces are configured correctly and all materials, AV equipment, and catering are in place before event start while maintaining the event intake system and tracking all requests, confirmations, and status updates in real time. This position requires you to liaise with building facilities, AV support, catering, and security to coordinate logistics for each event while serving as the on-site point of contact throughout each event, greeting and orienting attendees and providing wayfinding assistance. As you grow in this role, you will assume Sr. PDC responsibilities during periods of absence, ensuring full continuity of event operations and contributing to program expansion and strategic initiatives.
What your day-to-day will look like:
- Primary Scope: Standard Responsibilities
- Support the Sr. PDC in all phases of event coordination, including intake, logistics planning, vendor communication, and on-site execution to ensure seamless delivery of programming
- Manage event setup and breakdown logistics, ensuring spaces are configured correctly and all materials, AV equipment, and catering are in place before event start while maintaining attention to detail
- Maintain the event intake system, tracking all requests, confirmations, and status updates in real time to ensure clear communication and alignment with stakeholders
- Liaise with building facilities, AV support, catering, and security to coordinate logistics for each event while proactively addressing potential issues and ensuring smooth operations
- Complete post-event documentation, including attendance records, issue logs, and satisfaction data, for review by the Sr. PDC to support continuous improvement
- Maintain inventory of event supplies and equipment while coordinating reorders and replenishment as needed to ensure readiness for upcoming programming
- Greet and orient event attendees, provide wayfinding assistance, and serve as the on-site point of contact throughout each event, delivering exceptional customer service and support
- Elevated Scope: Program Expansion and Strategic Support
- Assume Sr. PDC responsibilities during periods of absence, ensuring full continuity of event operations within the designated space while maintaining quality standards and client satisfaction
- Contribute to the development and refinement of event SOPs, checklists, and templates based on operational experience and lessons learned to drive consistency and efficiency
- Support onboarding of new staff at expansion locations by participating in training delivery and knowledge-transfer sessions, sharing best practices and operational insights
- Provide secondary coordination support for events at Sr. PDC direction when primary space capacity permits, expanding your skills and supporting broader program needs.
Required Qualifications:
- Two (2) or more years of experience in event coordination, hospitality, customer service, or related fields with demonstrated ability to manage logistics and deliver exceptional service
- Strong organizational skills with ability to manage multiple concurrent events and priorities while maintaining attention to detail and meeting deadlines
- Excellent customer service orientation with ability to interact professionally with diverse audiences including employees, vendors, and senior stakeholders
- Strong written and verbal communication skills with ability to coordinate effectively with cross-functional teams and external partners
- Proactive, hands-on work style with ability to anticipate needs, problem-solve in real time, and remain calm under pressure during event execution
- Proficiency with Microsoft Office Suite (Outlook, Excel, Word) and comfort learning new technology platforms including event management systems and inventory tracking tools
- Physical ability to conduct site walks, oversee event setup, manage materials and equipment, and remain on-site for extended periods during event execution
- Flexibility to work variable hours including early mornings, evenings, and occasional weekends based on event schedules and programming needs
- Demonstrated success working in fast-paced environments where agility, professionalism, and client service are essential to success.
Preferred Qualifications:
- Experience working in corporate environments, particularly in workplace services, facilities management, or corporate hospitality roles
- Background in arts programming, cultural events, or creative workshops with understanding of the unique needs of educational and engagement programming
- Familiarity with event management software, registration platforms, or inventory management systems that support efficient operations
- Knowledge of AV equipment setup and troubleshooting including basic understanding of microphones, projectors, sound systems, and video conferencing technology
- Experience with catering coordination and vendor management including understanding of dietary restrictions, food safety, and hospitality best practices
- Understanding of building operations, security protocols, and facilities coordination in corporate office environments
- Track record of contributing to process improvement initiatives including developing templates, checklists, or workflow documentation
- Experience training or onboarding new team members with ability to share knowledge effectively and support skill development
- Graphic design or communications experience supporting event promotion and internal marketing efforts
- Customer feedback collection and data entry experience supporting program evaluation and continuous improvement.
