ROLE OUTLINE
The Human Resources Assistant provides administrative and operational support for the Total Rewards, Payroll, HR Operations, Talent Acquisition, and Organizational Development functions. This role is responsible for supporting payroll and benefits administration activities, monitoring HR and payroll communications, maintaining employee records and files, assisting with data reviews, and providing general administrative support across
Human Resources.
Working under the direction of the Director, Total Rewards and in partnership with HR team members, the HR Assistant helps ensure accurate, timely, and efficient delivery of HR services while maintaining confidentiality and
strong customer service standards.
Key Focus Areas
Payroll (35%)
- Monitor and manage the payroll inbox, ensuring inquiries are routed and addressed timely.
- Assist with payroll processing activities by gathering, reviewing, and organizing payroll-related information.
- Support payroll audits, reconciliations, and data validation activities.
- Track payroll deadlines and communicate follow-up items to employees, managers, and HR teams.
- Maintain payroll records and documentation in accordance with company standards.
- Support payroll reporting and administrative activities while maintaining confidentiality of sensitive information.
Total Rewards (25%)
- Assist with organizing and maintaining total rewards files and employee records.
- Support data reviews, audits, and reconciliation activities under the guidance of the Total Rewards team.
- Prepare and distribute communications and materials.
- Assist with benefits enrolment and employee documentation processes.
- Maintain accurate records and filing systems.
HR Operations (25%)
- Assist with employee onboarding, offboarding, and personnel file management.
- Support HR documentation, records retention, and compliance activities.
- Perform data entry, reporting, and quality assurance reviews within HR systems.
- Assist with HR projects, process documentation, and administrative initiatives.
- Support maintenance of employee data and ensure record accuracy.
Talent Acquisition and Organizational Development (15%)
Coordinate logistics for training sessions, workshops, and employee development programs.
Maintain training records and participation tracking.
Assist with employee engagement and organizational development initiatives.
Prepare presentations, communications, and materials for learning and development activities.
Provide administrative support for talent, performance management, and development programs.
Foundational Experience
Required Qualifications & Experience: To be considered for this position, you must possess the following
qualifications:
High School Diploma or GED required.
Associate degree in Human Resources, Business Administration, or related field preferred.
Minimum 1-3 years of administrative, HR, payroll, benefits, or customer service experience.

- 4 days in office preferred.
