Sales and Marketing Coordinator

 

This role is fully remote and would require about 20% of travel with about 10% of travel for quarterly team meetings in South Florida.

Summary: Total Health is seeking a highly organized, creative, and proactive Sales & Marketing Coordinator to support our growing Sales team and oncology education portfolio.

This role is ideal for someone who enjoys a mix of marketing, sales support, digital communications, project coordination, and creative work. The Sales & Marketing Coordinator will help execute the day-today marketing and communication activities that support sponsorship sales across our national portfolio of educational programs.

This is a hands-on role. One day you may be creating sponsorship collateral in Canva, the next building an email campaign in Marketo, updating a webpage in Squarespace, coordinating a Basecamp project, or helping the Sales team prepare for an upcoming campaign.

The right person will be comfortable managing multiple projects at once, learning new systems, communicating with team members, and jumping in wherever support is needed.

 

Key Responsibilities:

Sales & Marketing Support:

• Create and update sales collateral, sponsorship materials, flyers, one-pagers, and digital assets using Canva
• Build and execute email campaigns in Marketo
• Update sponsorship and meeting webpages in Squarespace
• Support sales campaigns for upcoming conferences, sponsorship opportunities, exhibits, and special programs
• Assist with preparing sales presentations, pricing materials, meeting information, and sponsorfacing resources
• Maintain consistency across sales and marketing communications
• Help develop creative ways to promote upcoming meetings and available sponsorship opportunities

Digital & Social Media:

• Assist with creating and scheduling social media content
• Develop graphics and promotional assets for social channels
• Support meeting announcements, sponsorship promotions, registration updates, and other campaigns
• Help maintain an organized content calendar
• Ensure messaging and branding remain consistent across platforms

Project & Team Coordination:

• Maintain and communicate updates through Basecamp
• Create, assign, and follow up on project tasks and deadlines
• Help ensure Sales, Marketing, and Program teams have the information they need for upcoming initiatives
• Support quarterly team projects and department initiatives
• Assist with organizing campaign timelines and deliverables
• Follow up with internal team members to keep projects moving

Sales Support & Administration:

• Provide administrative support to the Sales team as needed
• Assist with data entry, list management, document organization, and reporting
• Help organize sales materials, templates, folders, and internal resources
• Support meeting preparation and occasional post-meeting projects
• Assist with special projects during slower periods
• Provide additional department support as business needs arise

Preferred Experience:

• 1–3 years of experience in marketing, sales support, communications, project coordination, or a related role
• Experience with Canva
• Experience with email marketing platforms such as Marketo, HubSpot, Mailchimp, or similar
• Experience with Squarespace, WordPress, or another website CMS
• Experience with project management tools such as Basecamp, Asana, Monday.com, or similar
• Familiarity with social media platforms and content creation 
• Microsoft Office / Google Workspace proficiency 
• Experience supporting a sales or business development team is a plus
• Healthcare, pharmaceutical, medical education, or conference/event industry experience is a plus but not required

 

Position Requirements:

• Must currently reside in Florida
• Ability to work remotely and maintain reliable communication during business hours
• Ability to travel occasionally for team meetings, company meetings, or other business needs
• Ability to manage multiple projects and deadlines simultaneously

 

What Success Looks Like:

Within the first several months, this person should be able to independently manage routine Sales & Marketing execution—including Canva collateral, Marketo campaigns, Squarespace updates, Basecamp communications, social content, and recurring Sales team support—while keeping projects organized and deadlines moving.

The goal of this position is simple: help the Sales team spend more time selling by taking ownership of the marketing, communication, coordination, and administrative work that supports the sales process.
