Brief Description of Duties

 

The Associate University Registrar for Systems & Curriculum provides strategic leadership for the administration, optimization, and continuous improvement of the University's student information systems, curriculum management processes, degree audit technologies, and transfer credit operations. Reporting to the University Registrar, this position serves as the functional lead for Acadeum, Courseleaf, Degree Works, Salesforce, and other academic technologies supporting the student lifecycle.

The Associate University Registrar collaborates with Information Technology, Enrollment Management, faculty, and external partners to ensure the integrity of academic records, curriculum data, transfer credit management, and degree requirements while promoting operational excellence, compliance, and exceptional student service.

Essential Duties and Responsibilities

Student Information Systems Administration

  • Develop and maintain business processes that improve efficiency through automation and technology.

Curriculum Management

  • Coordinate the implementation and maintenance of all approved curriculum changes within Banner and related systems.
  • Manage academic programs, course catalog, and degree requirement updates.
  • Partner with Academic Affairs to ensure curriculum changes are accurately reflected in university systems.
  • Support catalog production and publication timelines.

Degree Audit Administration

  • Serve as the institutional administrator for Degree Works.
  • Develop, maintain, and update degree audit coding for all academic programs.
  • Collaborate with colleges and departments to ensure audit accuracy and compliance with catalog requirements.
  • Troubleshoot complex degree audit issues and recommend system improvements.

Transfer Credit Operations

  • Oversee operational processing of transfer credit evaluations and posting.
  • Ensure transfer coursework is processed accurately and within established service-level expectations.
  • Collaborate with academic departments regarding transfer evaluation workflows.
  • Monitor turnaround times and service quality.
  • Serve as the primary point of contact for students seeking prior learning credit.
  • Advise prospective and current students regarding CPL opportunities and eligibility requirements.
  • Maintain accurate records of CPL awards within the student information system.
  • Participate in committees related to academic policy and curriculum.

Academic Partnerships

  • Administer academic exchange platforms such as Acadeum.
  • Coordinate student registration, enrollment reporting, and record maintenance for consortium and partnership programs.
  • Ensure compliance with institutional policies and accreditation standards.

Data Governance and Compliance

  • Maintain the integrity, confidentiality, and security of student academic records in accordance with applicable federal and institutional regulations.

Leadership and Collaboration

  • Supervise and support staff responsible for systems, curriculum, and transfer services.
  • Provide training and functional guidance to campus stakeholders regarding registrar systems and policies.
  • Serve on institutional committees supporting enrollment, curriculum, technology, and academic policy initiatives.
  • Represent the Office of the Registrar in cross-functional projects and strategic initiatives.

Continuous Improvement

  • Evaluate emerging technologies and recommend enhancements that improve service delivery.
  • Lead process improvement initiatives utilizing best practices in higher education administration.

Minimum Job Requirements

 

Education and Experience

  • Bachelor's degree from an accredited institution.
  • Five years of progressively responsible experience in a university registrar or enrollment management environment.
  • Minimum of three years administering student information systems.
  • Demonstrated experience with:
    • Banner Student
    • Degree Works
    • Courseleaf
    • Acadeum or comparable consortium management platform
  • Experience managing transfer credit evaluation and curriculum implementation.

Knowledge, Skills, and Abilities

  • Comprehensive knowledge of registrar operations and enrollment management.
  • Thorough understanding of FERPA and student records compliance.
  • Strong knowledge of registration, transcript, transfer credit, and enrollment verification processes.
  • Excellent organizational and operational management skills.
  • Demonstrated ability to supervise.
  • Strong conflict resolution and customer service skills.
  • Ability to analyze operational data and recommend improvements.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong analytical, organizational, and project management skills.
Preferred Qualifications
  • Demonstrated experience with the functional administration of Student Information Systems (SIS), preferably Banner.
  • Experience supporting curriculum management systems, preferably Courseleaf.
  • Experience managing Degree Audit Systems, preferably Degree Works.
  • Ability to support system testing, implementation, upgrades, and continuous improvement initiatives.
  • Knowledge of academic program and course inventory maintenance, including curriculum approvals and lifecycle management.
  • Course scheduling and section management
  • Knowledge of transfer credit evaluation processes and application of institutional academic policies.
Information to Applicant

This position is primarily sedentary in nature, requiring the ability to remain in a stationary position for extended periods. The incumbent must be able to operate standard office equipment. Occasional movement within the office to include bending, reaching, or lifting items up to 15 pounds. Residency Preference: A person applying for a position who is a bona fide District resident at the time of application for the position, may be awarded a 10-point residency preference over non-District applicants, unless the person declines the preference points. If selected, the person shall be required to present no less than 8 proofs of bona fide District residency on or before the effective date of the appointment and maintain such residency for 7 consecutive years from the effective date of the appointment. Failure to maintain bona fide District residency for the 7-year period will result in forfeiture of employment.
