The Department of Adult and Juvenile Detention (DAJD) is seeking a highly qualified candidate for an Administrative Specialist II – Tablet Coordinator position supporting the Seattle and Kent Detention Facilities. This role provides essential administrative and clerical support to resident programming, ensuring efficient operations and exceptional customer service to program staff. The position interacts regularly with residents, detainees, defendants, correctional officers, volunteers, contracted professionals, and members of the public.

ABOUT THE DEPARTMENT: The Department of Adult and Juvenile Detention (DAJD) is a professional and nationally recognized organization that supports safe, vibrant, and healthy communities in partnership with other criminal justice and human service agencies. DAJD operates the largest county adult detention system in the State of Washington, housing an average daily population of approximately 1500 individuals.


DEPARTMENT MISSION: DAJD provides in-custody and community-based services that are data informed, advanced safety, lead system change, and promote equitable outcomes for the people we serve. 


ABOUT THE DIVISON: The Community Corrections Division (CCD) uses evidence-based practices to promote more productive behaviors and lifestyles.   CCD has four programs - Community Center Alternative Programs (CCAP), Electronic Home Detention (EHD), Intake Services Unit (ISU), and Resident Programs. The Resident Programs section within DAJD oversees volunteer-led and contracted programming designed to build skills, support personal development, and connect participants with agency partners who assist with reentry and stabilization services. The Administrative Specialist II – Tablet Coordinator plays a key role in supporting these programs by ensuring accurate coordination, communication, and documentation across multiple operational areas.


This recruitment will fill the current vacancy and create an eligibility list to fill future vacant Administrative Specialist II positions over the next 6 months.  

This position performs a variety of clerical and administrative tasks in a secure environment. The responsibilities listed below describe the general nature and level of work assigned and are not intended to be an exhaustive list of all duties required.

 

Primary Responsibilities

• Provide professional, courteous customer service by greeting and directing volunteers, contracted professionals, and visitors; answer calls and email correspondence, including responding to Tablet Coordinator emails, resident tablet grievances, and inquiries related to tablet accounts.

• Perform general clerical tasks, including opening, stamping, and distributing incoming mail; composing routine correspondence and memorandums; and completing other administrative tasks as assigned.

• Conduct basic clerical functions such as data entry and retrieval, filing, photocopying, and computer utilization (primarily Microsoft Word, Excel, and Outlook). Maintain program records and files; track, organize, and retrieve information as directed.

• Sort resident kites, distribute them to program-specific mailboxes, respond to resident kite inquiries, and complete full KITE management processes including collection, stamping, sorting, data entry, scanning, filing, updating trackers, and returning responses.

• Enter property records for persons in custody, assign tablets, support subscription setup, verify identity and pin information using JMS and NextGen, activate pins when needed, and ensure accurate data entry into applicable spreadsheets and SharePoint folders.

• Prepare, distribute, and track tablets and related accessories (including earbuds, wing sheets, instruction sheets, and ADA/VRS accommodation requests). Engage with residents during reissue, final warnings, and declined tablet processes.

• Complete full tablet inventory processes: count tablets, request orders when inventory is low, coordinate tablet orders and deliveries with Securus, sanitize tablets, and dispose of used earbuds.

• Collect malfunctioning tablets, test and troubleshoot devices, document issues (including photos and camera log entries), complete tablet repair forms, email required reports, and collaborate with the Securus representative for repairs, decommissioning, subscription removals, and damaged tablet processing.

• Perform missing tablet processes and tablet restriction procedures, ensuring accurate reporting, documentation, and archiving of records. Complete required monthly documentation each month.

• Conduct monthly audits and inspections of wing charging carts; develop and maintain inspection forms; report discrepancies or damage to the supervisor, Director, and facility Major.

• Manage the JMS Dashboard tablet queue by determining eligibility, prioritizing issuance, exporting necessary spreadsheets, and uploading completed issuance documentation to SharePoint.

• Support continuous improvement by conducting outreach to neighboring county jails to gather information on tablet-management practices. Track research findings in a comparative spreadsheet and report potentially adoptable policies or procedures.

• Assist the Securus representative with inventorying and mailing out damaged tablets.

• Perform other duties as assigned that fall within the scope of the position.

• Two years of full-time office experience.
• One year of experience working with complex processes in a high-volume customer service environment and performing complex administrative functions.
• One year of experience in records maintenance.
• Demonstrated experience operating general office equipment, including scanning, copying, and faxing.
• High School Diploma or GED.
• Minimum age of 21 by the time of hire.
• Valid Washington State driver’s license, or the ability to obtain one by the time of hire.
• Intermediate proficiency in Microsoft Office Suite, including Word, Excel, SharePoint, and Teams.
• Strong verbal and written communication skills.

Most Competitive Candidates Will Have

• Advanced proficiency in Microsoft Word and Excel, and overall advanced skill in the Microsoft Office Suite.
• Experience working in the criminal justice or corrections field.

WORK LOCATION/SCHEDULE: Employees will work with a secure jail setting and may be assigned to either the Seattle Division, King County Correctional Facility in downtown Seattle OR the Kent Division, Maleng Regional Justice Center in Kent. This position will work a 40-hour work week and is overtime eligible. Standard work hours are Monday through Friday, 8:00 a.m. - 4:30 p.m. Schedule assignments are subject to the staffing needs of the department and bargaining unit bidding process as applicable.

UNION MEMBERSHIP: This position is represented by Washington State Council of County and City Employees, Local 21-AD DAJD bargaining unit.
