Description
A fast-growing AI company is looking for a Workplace & Experience Coordinator to join its New York team. This is an exciting opportunity to shape the employee experience at one of the fastest-scaling companies in tech, with several new hires joining every week and a clear path to grow into an Office Manager role. In this role, you’ll keep two NYC offices running smoothly: managing vendors, greeting guests and candidates, triaging building and office needs, providing light IT support, onboarding new hires, registering visitors, and handling seating. You’ll also help the team through an upcoming move into a much larger space. Someone who is high energy, outgoing, and high EQ, moves quickly, takes ownership, and loves going above and beyond to make people feel taken care of. This is an in-office role, 5 days/week, based in NYC’s SoHo neighborhood, with flexibility for occasional early mornings, evenings, and events. 80-110K+ DOE + equity, fully covered health insurance, 401K with 4% match, unlimited PTO, and catered breakfast, lunch, and dinner.
Responsibilities:
- Serve as the friendly face of the NYC offices, greeting guests and interview candidates and partnering with the onsite Recruiting Coordinator to create a great candidate experience.
- Own vendor relationships across two office spaces, holding a high bar and staying on top of needs with urgency as priorities shift.
- Triage building and office issues as they come up and dispatch them to the right vendors and building partners.
- Support new hire onboarding, including weekly office tours, and act as a go-to point of contact for new team members.
- Register visitors and new employees with building management to keep office access running smoothly.
- Manage seating and space needs for a quickly growing team.
- Provide light IT support for employees in the office.
- Help manage a temporary office space and support the transition into a significantly larger office.
- Support team events, dinners, happy hours and celebrations that make the office feel like a community.
- Jump into new projects as they come up and find ways to elevate the workplace experience.
- Previous experience in workplace, office operations, hospitality, or a similar people-facing role, ideally within a startup or high-growth environment.
- Thrives in a very fast-paced environment and is energized by shifting priorities, quick turnarounds, and making decisions on the fly.
- Highly responsive with a strong sense of urgency and follow-through.
- Outgoing, warm, and high EQ, with a genuine love for getting to know people and making them feel taken care of.
- Hospitality mindset with a five-star standard of service and a drive to go above and beyond the basic duties of the role.
- Proactive and solutions-oriented, with a strong sense of ownership and a positive, can-do attitude.
- Strong organizational skills with the ability to juggle multiple vendors, requests, and projects at once.
- Flexible with hours, including occasional early mornings, evening events, and late guests.
- Proficient with Google Workspace and Slack; familiarity with building management systems is a plus.
