The Medical Secretary II Certified provides patient-facing and administrative support within a clinical setting. Responsibilities include patient registration and check-in, appointment scheduling, processing insurance referrals, managing medical record requests, coordinating electronic document workflows through Epic, Sfax, and OnBase, and supporting daily clinic operations. The position serves as a key resource in ensuring efficient patient flow and exceptional customer service while maintaining compliance with organizational and regulatory requirements.Job Description
Primary Duties & Responsibilities:
- Coordinates patient registration, check-in, scheduling, and front-desk operations in a patient care setting.
- Processes medical record requests and ensures timely and accurate handling of patient information.
- Manages incoming faxes, Sfax workflows, OnBase documents, and related electronic medical record processes.
- Reviews, scans, indexes, and transfers information into Epic and other electronic systems as appropriate.
- Processes insurance referrals and assists with obtaining required documentation to support patient care.
- Provides administrative support for clinic operations, including document management, scheduling support, and workflow coordination.
- Answers telephone calls, responds to inquiries, takes messages, and routes communications to appropriate personnel.
- Assists administrative and clinical staff during periods of high patient volume, staffing shortages, or operational needs.
- Maintains accurate patient and departmental records in accordance with organizational policies and procedures.
- Greets patients and visitors and delivers excellent customer service in a professional healthcare environment.
