We are currently seeking a Process Serving Specialist to support our legal and property management operations by ensuring the timely and compliant service of legal documents across our portfolio.
This position offers the opportunity to work independently while partnering closely with District Property Managers, attorneys, and leadership to help protect the company's interests and ensure compliance with legal requirements.
Cook Properties is New York State's largest owner and operator of manufactured housing communities, proudly managing 100+ communities with more than 7,000 home sites. Our diverse portfolio also includes 200,000+ square feet of commercial, retail, and office space, along with 2,000 self-storage units.
The Process Serving Specialist is responsible for serving legal notices and court documents, maintaining accurate legal records, coordinating with attorneys and management, and supporting eviction and legal compliance processes throughout our communities.
Responsibilities
As a Process Serving Specialist, you will:
- Serve legal documents including eviction notices, rent demands, lease violation notices, notices to cure, notices of petition, petitions, and other legal correspondence in accordance with New York State laws.
- Coordinate with attorneys, District Property Managers, and community staff regarding legal proceedings and service requirements.
- Complete affidavits of service and maintain accurate documentation for court proceedings.
- Maintain detailed records of all service attempts, successful deliveries, and supporting documentation.
- Ensure legal notices are served within required timelines and in compliance with applicable laws.
- Travel regularly between Cook Properties communities throughout assigned territories.
- Communicate professionally and respectfully with residents during all interactions.
- Assist with locating residents and verifying service information when necessary.
- Support collections and eviction processes by ensuring documentation is complete and legally compliant.
- Maintain confidentiality of sensitive resident and legal information.
- Utilize company software and mobile technology to document activity and manage assignments.
- Report legal compliance issues or concerns to management promptly.
- Partner with District Property Managers on legal compliance initiatives and operational needs.
- Perform other related duties as assigned.

Requirements
Qualifications We are looking for someone who has:
- High school diploma or equivalent required.
- Previous experience in process serving, legal services, property management, law enforcement, collections, or a related field preferred.
- Valid New York State driver's license with an acceptable driving record.
- Ability to travel frequently between company communities.
- Strong organizational skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Ability to exercise sound judgment while maintaining professionalism in challenging situations.
- Ability to work independently with minimal supervision.
- Proficiency with Microsoft Office Suite and mobile technology.
- Experience preparing legal documentation or affidavits is preferred.
- Experience with property management software, specifically Rent Manager, is preferred.
What We Offer Compensation: $60,000 - $65,000 annually, based on experience.
