POSITION SUMMARY
The Sr Recording Specialist is responsible for ensuring all documents are complete, accurate, and compliant with county recording requirements prior to submission. This role confirms and adds all necessary information required by recording jurisdictions, including preparation of cover sheets, verification of property information, examination of parties and signatures, and calculation of recording fees. The Sr Recording Specialist also serves as a subject matter resource by training new hires, answering questions from Recording Specialists, and escalating issues to management as appropriate.
DESCRIPTION
Essential Functions, Duties, and Responsibilities
Recording Operations
- Track receipt of documents for recording by project.
- Flag, report, and obtain signatures on missing or additional documents required for recording.
- Create files in the system and scan/attach recording documents to the appropriate file.
- Calculate recording costs for various documents, including deeds, assignments, powers of attorney, releases, and related documents.
- Facilitate the review, correction (if needed), and delivery of completed documents to clients.
- Understand and comply with all regulatory requirements for recording, including the preparation of required cover sheets.
- Timely and accurately submit recordings to the appropriate counties through electronic recording (e-record) and manual recording processes.
- Detect recording errors and implement preventive measures prior to submitting documents for recording.
- Monitor incoming recorded documents and enter completed recordings into the system as completed task.
- Track and monitor the status of recordings through reporting to ensure timely recording of documents.
Client & Team Support
- Monitor and respond to questions and requests from clients and project managers.
- Effectively answer questions from Recording Specialists and escalate issues to management when appropriate.
- Provide excellent internal and external customer service through timely communication and issue resolution.
- Tracks and Monitors status of recordings through reports to ensure rapid recording of documents.
Training & Continuous Improvement
- Train new hires to ensure a full understanding of recording procedures, department expectations, and job responsibilities.
- Support the ongoing development of team members by serving as a resource for recording processes and best practices.
- Assist with identifying opportunities to improve recording accuracy and workflow efficiency.
- Ability to effectively and accurately convey information to others.
- Performs related duties as assigned by management.
Qualifications and Education Requirements
- High School Diploma or equivalent required.
- One (1) year of Recording Specialist experience required.
Skills, Abilities, and Knowledge
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Analytical, evaluative, and objective critical-thinking abilities.
- Ability to work independently and exercise sound judgment.
- Proficiency in Microsoft Office Suite and legal document management systems.

- Excellent oral communication skills with the ability to effectively communicate with internal staff and external customers.

- Ability to work under pressure, prioritize multiple tasks, and meet established deadlines while maintaining a positive attitude.
- Ability to work independently and complete assignments within prescribed procedures and standard practices.
- Knowledge of Microsoft Windows, Word, Excel, Outlook, and other standard business software applications.
- Ability to identify errors and proactively resolve issues before submission.
- Strong problem-solving skills and commitment to delivering accurate, high-quality work.
- Light lifting and carrying (up to 20–25 lbs.).
