Description

The Juvenile Court Clerk will be responsible for assisting with the daily functions of  Juvenile Services including coordinating the flow of court-directed cases between the Department of Juvenile Services, District Attorney’s Office, District Clerk’s Office and Juvenile Court. Responsible for notifying attorneys, families and probation officers of pending court hearings. Records court ordered dispositions in the juvenile services system of record. Supervises (2) assistants.Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • Prepares legal files for court hearings.
  • Records court ordered dispositions in the juvenile services system of record.
  • Maintains accuracy of records for court disposition proceedings by managing case files, entering data into the juvenile justice system of record, and ensuring complete and accurate monthly reporting.
  • Processes Progress Reports and Voluntary Extensions of Probation.
  • Notifies interested parties of court settings and decisions by email, post mail and telephone.
  • Records all Transfers of Disposition and Interim to Permanent Transfers in the juvenile justice system of record.
  • Prepares various orders for court’s signature; provides interested parties with copies of signed orders or uploading signed orders into the juvenile justice system of record.  
  • Supervises two (2) assistants by assigning work, completing annual performance evaluations, identifying training needs and providing training, monitoring attendance and punctuality, and verifying and approving weekly timesheets in SAP.
  • Monitors workflow, modifying work assignments as necessary to insure timely completion of all court clerk duties. 
  • Orders office supplies.
  • Tracks Determinate Sentence Probation cases to assist with timely court processing if case is to be transferred to Criminal Courts.
    • Assigns, prepares and reviews all TJJD commitments. 
  • Performs other duties as assigned.

Knowledge, Skills, & Abilities:
  • Excellent customer service and communication skills, both verbal and written. 
  • Ability to work in a fast-paced environment. 
  • Must be able to stay organized and know how to prioritize the workload. 
  • Ability to work independently and as part of a team. 
  • Competency with computers and Microsoft Office 365 Suite. 
  • Advanced analytical skills. 
  • Ability to perform word processing and specialty document production in department’s online computer system.  
  • Ability to edit own work for correctness, accuracy, and composition.
  • Ability to prioritize task; ability to deal effectively and courteously with judges, probation officers, prosecutors, defense attorneys, witnesses, and police officers. 
  • Ability to work under pressure when accountable for the results of actions.  
  • High School Diploma or equivalent.  
  • Three (3) years related experience.  
While performing the duties of this position, the incumbent  is regularly required to walk, bend, hear, keyboard, sit, stand, talk, reach, work alone and with others. Must be able to lift up to 25lbs.
