Kovitz Shifrin Nesbit is growing! A well-established and leading law firm specializing in the representation of condominium and homeowner associations is seeking an experienced, full-time Legal Assistant, in our Lincolnshire, IL office. The Legal Assistant will be responsible for providing administrative support to the legal team. The ideal candidate has a strong work ethic, shows close attention to detail, exceptional problem-solving skills, and is comfortable working in a fast-paced environment.
The starting hourly rate for this non-exempt position is $29.67, contingent up level of experience. The schedule for this position is Monday through Friday, 9:00am to 5:00pm, and it follows a 35-hour workweek. The position requires a minimum of 60-90 days of in-office training. After successfully completing this period, the role will transition to a hybrid schedule. The schedule will be determined by the manager once training is completed. Duties/Responsibilities
· Draft engagement and introductory letters for new litigation matters.
· Coordinate the intake and setup of new litigation matters by reviewing Litigation Approval Forms for completeness, obtaining required documentation, and ensuring timely matter creation.
· Assign BOC/BCV Litigation Approvals to the appropriate attorney and monitor assignments for timely processing.
· Open and maintain litigation matters in Vision, ensuring all matter information, attorney assignments, and paralegal assignments are entered accurately.
· Maintain accurate matter information, electronic files, and physical files in accordance with department procedures.
· Schedule Zoom and other virtual meetings, reserve conference rooms, coordinate calendars, and manage related meeting logistics.
· Coordinate with attorneys, paralegals, clients, opposing counsel, courts, process servers, and other third parties as needed.
· Assist with the filing, service, routing, and distribution of pleadings, motions, notices, subpoenas, court correspondence, and other litigation-related documents.
· Process and distribute incoming mail, checks, and legal documents, and prepare outgoing mail and shipments, including USPS, FedEx, and other courier services.
· Assist with docketing and calendaring court dates, hearings, deadlines, and other important litigation events.
· Prepare, organize, and distribute materials for meetings, hearings, depositions, and other litigation proceedings.
· Provide administrative support to attorneys and paralegals on active litigation matters.
· Track checks and other payments received by the Litigation Department and ensure they are processed in accordance with department procedures.
· Perform other duties as assigned.
Requirements
Qualifications
· Previous experience in a law firm or legal environment preferred.
· Experience supporting attorneys in a litigation practice preferred.
· Working knowledge of legal terminology, court procedures, and the litigation process preferred.
· Strong organizational, time management, and prioritization skills, with the ability to manage multiple assignments and meet deadlines in a fast-paced environment.
· Excellent attention to detail, accuracy, and proofreading skills.
· Strong written and verbal communication skills.
· Ability to maintain confidentiality and exercise discretion when handling sensitive information.
· Ability to work independently while collaborating effectively with attorneys, paralegals, and other team members.
· Proficiency in Microsoft Office Suite.
· Experience with legal software and case management systems, such as iManage, Juris Suite, Vision, LexisNexis, and PACER preferred.
