Tasks:

  • The successful candidate will be responsible for the following tasks and duties.
  • Independently organising and carrying out all assistant duties for the Vice President of Global Supply Chain Management Rail, including efficient scheduling and coordination
  • Supporting the high-quality preparation and follow-up of all business reviews
  • Monitoring compliance with timetables, budgets and quality standards, and ensuring effective communication and collaboration with all stakeholders
  • Supporting the division in administrative and organisational matters, such as coordination, organisation and schedule management of projects, meetings, events and global conferences
  • Preparing management presentations, predominantly in English
  • Planning and claiming expenses for business trips undertaken by the Vice President of Global Supply Chain
  • Managing the department's workplace equipment (furniture, IT equipment, etc.) and assisting with office layout planning
    Preparing purchase orders and CITAX, as well as assisting with cost control for the department's cost centres, including invoice verification

Requirements:

  • Good communication skills for cross-departmental collaboration
  • Ability to work independently, coordinate and integrate, and assertiveness
  • Ability to integrate into a team
  • High sense of responsibility, resilience and organisational skills
  • The pay grade ranges from MUC08 to MUC10, depending on the fulfilment of the role.

  • MS Office: at least detailed specialist knowledge
  • German: at least business fluent
  • English: at least business fluent
  • Several years' professional experience in an assistant role, ideally in an international environment
  • Excellent communication skills and outstanding organisational ability, combined with an
  • independent, structured and efficient approach to work
  • High level of reliability and professionalism
  • Ability to work as part of a team
