Job Description
Facilities Management
- Responsible to represent JLL and to portray partnership management in the areas of service, performance, compliance, ethics, people, and relationship management for the assigned sites.
- Manage the Partner relationships to the expectations of a VESTED program
- Support Global and Regional Leadership
- Implement building procedures and performance measures and ensure that IFM properties and Partnership relations are always maintained
- Assist with the development and implement the annual management plan for the buildings within assigned scope
- Conduct planned and assigned inspections of the sites to validate that Class A quality levels of service are continuously provided to the client facilities
- Manage, coordinate, and exercise functional responsibility for facilities management services within assigned facilities and geography
- Drive and support the tactical implementation of global initiatives and roadmaps
- Drive, promote, and support the KPI requirements for the account, including CMMS management, work order management, service delivery coordination, completion of work to SLA requirements, and quality standards
- Develop overall workflow to meet SLAs
- Manage facilities management team and support the extended team to meet all performance expectations
- Recommend continuous quality improvement practices and implement Industry Best Practice operations
- Lead in participation of local JLL and Account innovation programs.
- Redeploy innovations implemented and learnt from other account teams.
- Demonstrate JLL innovation efforts to the Client Partner
- Work in conjunction with central supply chain and other account-specific programs to support client specific needs
- Lead the Experience Clean Supplier Partnership program, including meeting governance requirements and scorecard review
- Drive OPEX projects, including coordination of work needing to be carried out to meet the plan, schedule, and milestones
- Assist in scoping and validation of quality delivery where support is needed.
- Maintain interface with third-party owners (landlords), ensuring total contract (lease) compliance, accurate and timely reporting, and resolve critical impact tenant relations issues
- Support all human experience initiatives
- Support all operational and engineering initiatives
- Support all sourcing initiatives
- Performs additional assigned duties as requested or assigned
Financial Management
- Responsible for establishing site-level annual budget with a focus on the cost of ownership as specified by Client goals
- Support operational expense budgeting process across functional matrices in support of client objectives
- Prepare, present, and manage site-level savings and value strategies to the our client Partners to align with long-term business strategies
- Provide monthly and quarterly variance reports on against the site operating budgets for properties on a timely basis
- Support and promote the prompt submission of invoices from, and reimbursements to 3rd suppliers
- Identify opportunities within the supply chain to deliver differentiated value through quality, innovation, and/or cost improvements
- Responsible for commercial goals of JLL’s cost of ownership and value for IFM Operations and professionally present findings to our finance workstream and the Client Partner
- Support and cooperate with the JLL Projects team to develop property-specific multi-year capital improvement plans; coordinate with our matrix organization to formalize the processes and scopes to complete these projects
- Deliver oversight and feedback to client-facing financial reporting
Compliance Management
- Provide overall facility services in accordance with local regulations and JLL’s account standard processes and procedures, including application of policies and programs and coordination of information
- Coordinate with Operations Manager and Regional Directors to ensure risk and compliance with portfolio-wide initiatives are implemented and validate alignment with required local, state and federal laws and regulations that pertain to the operating of facilities entrusted to the Facility Partners to manage on behalf of the client as owner
- Enforce all Company policies and training requirements are met by the role’s direct reports, regarding safe and efficient operations and work practices
- Assist Health Safety Security & Environment teams with investigations, implementations, and monitoring of hazard control, and team safety practices to ensure compliance with all local codes and regulations and Jones Lang LaSalle (JLL) operations standards
- Ensure disaster recovering and business continuity plans are implemented, communicated, trained on, and maintained
- Ensure escalation procedures and incident reporting procedures are always implemented and maintained
- Support compliance with Jones Lang LaSalle (JLL) minimum audit and compliance standards in facility management, financial management, and operational policies and procedures. Responsible for Jones Lang LaSalle (JLL) Engineering Compliance Program
- Review existing operations regularly to reduce costs and improve operational standards
People Management
- Responsible for the team performance and morale of all resources deployed for IFM scope
- Single point of contact for all JLL HR related matters for direct reports of the JLL facilities management team
- Manage staff growth planning and processes; for every direct report, build an actionable and measurable career development plan, annual goal setting and performance reviews, account performance outcomes, growth planning, succession planning, recognition, and staff reporting
- Maintain regular contact with HR for staff support, strategic people management, Learning & Development programs, and leave planning
- Documentation of HR activity as per JLL HR and Workday guidelines
- Matrix-manage both technical and administrative staff, as directed
Job Requirements
Education
- Bachelor's degree or equivalent work experience in Facilities Management with management/technical emphasis. Advanced degree a plus; CPM, RPA, CSM designation, and/or Real Estate License
- Minimum of eight years industry experience required either in the corporate environment, third party services provider, or as a dedicated consultant
Knowledge, Skills, and Ability
- Strong interpersonal skills driven to customer experience excellence
- Abilities and skill sets must include inspirational leadership, dynamic change management, complex problem-solving abilities, active collaboration, business acumen, financial acumen, intellectual curiosity, and a drive to help others succeed
- Strong leadership and relationship building skills that focus on people first
- Proven record of providing excellent service delivery internally and externally
- Proven knowledge of the Integrated Facilities Management business/industry and global accounting practices
- Strong knowledge, experience, and understanding of building systems
- Understanding of commercial leases, contract documents, and routine accounting methods
- Knowledge of Microsoft, Business Intelligence, CMMS, and Oracle financial systems
- Highly skilled in the ability to analyze data and present recommendations, ROIs, and results to internal and external executive leadership
- Excellent prioritization, delegation, and conflict resolution skills
- Ability to plan and manage within budget and time constraints
- Manage team to meet expectations in a highly dynamic corporate matrix environment
- Exceptional communication and presentation skills
- Able to operate independently with minimal supervision
