About the Role

We’re looking for an IT Procurement Analyst to own hardware procurement, inventory, and vendor operations end to end for our client. This role owns the process of getting the right hardware to the right place, on time, and at the right cost.
You’ll report to the VP of Strategic Finance and work closely with Sales, Customer Success, Sales Engineering, EPD, Finance, and external vendors. You’ll take over day-to-day operations within the first month, then drive how the function scales through tighter controls, sharper forecasting, a broader vendor base, and improved asset tracking.
This is a high-visibility role overseeing significant capital outlays, with a direct impact on our client’s growth. We’re looking for someone who can ramp up quickly, take ownership, and bring solutions and recommendations rather than open questions.

Responsibilities

Vendor Management & Procurement

• Manage the day-to-day relationship with hardware vendors, including order submissions, order status, lead times, inventory allocations, export documentation, and escalations
• Release purchase orders (POs) to vendors against confirmed customer orders
• Verify customer orders, pricing, POs, and vendor invoices before release and payment
• Source and qualify additional hardware vendors, working with EPD on specifications
• Lead vendor onboarding and support Finance with pricing negotiations
• Serve as the internal point of contact for hardware operations issues, including availability, lead times, shipping, and import terms

Inventory Planning & Tracking

• Own inventory planning and tracking, including stocking proposals based on sales forecasts
• Turn sales pipeline reports into forecast-driven hardware stocking plans
• Maintain the SKU and configuration cost matrix across core SKUs and variants
• Support pilot fleet inventory management in collaboration with Sales Engineering

Asset & Warranty Management

• Maintain service tag, deployment node, and warranty records with Customer Success, and improve the system of record
• Manage warranty renewals and transfers, coordinating with Sales, CS, and vendors to proactively maintain coverage
• Partner with the Hardware Support team, which owns customer support tickets and repairs, on hardware issues affecting inventory, warranties, or vendor management

Process Improvement

• Document, streamline, and automate processes as operational volume grows
• Strengthen controls around order, PO, and invoice matching
• Identify opportunities to improve tracking, reporting, and vendor operations as the business scales

Requirements

• 4+ years of experience in inventory management, procurement, or accounting with inventory exposure
• Advanced Excel or Google Sheets skills, with the ability to turn sales pipeline reports into hardware stocking plans
• Strong controls mindset, including order, PO, and invoice matching, process discipline, and attention to detail
• Ability to work independently, ramp up quickly, and take ownership
• Builder mentality, with a focus on improving processes rather than simply maintaining them
• Ability to bring solutions and recommendations instead of open questions
• Highly organized and process-oriented, with well-documented workflows and reliable tracking systems
• Clear written and verbal communication skills, with the ability to work seamlessly across Sales, CS, EPD, Finance, and external vendors
• Willingness to learn quickly (hardware expertise is not required on day one)

Nice to Have

• Experience in hardware-enabled SaaS or IT hardware
• Experience managing vendor relationships, lead times, and allocations
• Familiarity with import/export documentation and shipping terms
• Experience maintaining asset, serial number, or warranty tracking systems
• Experience building forecasts, dashboards, or automated workflows

What Success Looks Like

• Day 30: Independently manages PO releases, inventory tracking, vendor communication, and asset tracking, with limited day-to-day manager involvement
• Day 60: Monthly, forecast-driven stocking proposals are in place and running consistently
• Day 90: Additional vendors have been qualified, an operating playbook is documented, and recommendations for process improvements are ready
• Over time: Keep POs, inventory, and warranty records accurate and up to date, and scale the function with tighter controls and better visibility
