This position reports to:
Project Operations Manager__
As a member of the ABB US Service Team, the Business Administrator/AR (BA/AR) handles order entry, setup, invoicing, and overall financial aspects of service orders, contracts, demand orders, small upgrades, and projects as assigned. The role will also support Account Receivables providing day-to-day administrative coordination for the Marine Systems Service and Ports Service group and ensures timely, accurate AR processing. The scope of the BA role will be within LBL Ports Service US with AR responsibilities for LD Americas, Marine & Ports.
The BA/AR shall follow the internal procedures on order entry and administration, invoicing, and collections in their assigned regions. The BA/AR will monitor financials regarding local order bookings and involve Local Management, as necessary, when financial and contract issues arise. The BA will participate in the project and service management reviews as well as any other reviews over open orders as necessary. Overall financial responsibilities are within the scope of the Local Management and Local Finance; however, the BA/AR will also monitor the progress on their assigned open orders and will adjust planned and forecast costs as necessary or inform Local Management of variances and request guidance for adjustments to the orders.

This role is contributing to the Ports Service, Marine & Ports, in United States. Main stakeholders are LD Marine and Ports, US
Your role and responsibilities:
- Order entry into SAP as per eApprove local database or open job request form
- Set up of hours, parts, materials, subcontract labor, etc. in SAP.
- Monthly the BA will assist the Ops Manager in reviewing the open orders and revenue forecast and identifying which orders are ready to be invoiced and any other issues.
- Timely invoicing of orders as required and instructed by the project manager/coordinator and/or operation management.
- Calculation and submittal to customers of change order requests for time, material, expenses, etc. as needed.
- Resolving terms and conditions issues with project management when required
- Creation of contract/order acknowledgment forms and signature as required.
- Perform a wide variety of administrative duties under limited supervision, utilizing knowledge of established practices and procedures, and following the general guidelines of the supervisor.
- Serve as the first point of contact for the Charleston Service office, managing mail, incoming and outgoing deliveries, visitor logistics, and meeting coordination.

Qualifications for the role
- Associate degree and 2 or more years of experience in business administration; alternatively, a special combination of education and experience and/or demonstrated accomplishments.
- Microsoft 365 — Outlook, Teams, Excel, Word, SharePoint/OneDrive
- Excel – intermediate skill level
- SAP: Knowledge of Customer Service and Project System Modules
- ABB Internal Database and Software
- ABB Group Policies and Directives
- ABB Local SOX Control Processes
- Ad hoc support of project and operations management
