The Office Manager is responsible for managing administrative support services for assigned regional hubs and supporting technical teams in client service delivery. This position is the primary regional contact for administrative services, event planning, and other general office support tasks.
Essential Duties and Responsibilities
- Manages daily administrative functions and provides high quality internal and external client service.
- Oversees the effectiveness and efficiency of administrative functions related to facilities, security, safety, equipment, vehicles, and files.
- Fosters a zero-incident safety culture and strengthens safety focus at assigned locations.
- Promotes a strong culture and sense of community in alignment with the company’s values by regularly organizing and coordinating events and meetings and assessing morale, communicating observations and concerns to other leaders as appropriate.
- Manages administrative staff to include selection, orientation, training, and professional development. Makes recommendations regarding hiring, performance management, compensation, and terminations in partnership with Senior Administrative Services Manager.
- Partners with other leaders to support new hire orientation, including workspace coordination and overall local integration.
- Supports technical teams in client service delivery by setting up projects and performing word processing for outgoing documents while enforcing QA/QC processes to guarantee high-quality products for clients.
- Coordinates office maintenance and equipment/vehicle repairs as needed. Manages office inventory and orders supplies and services as needed. Evaluates third-party service providers and recommends process improvements as appropriate.
- Works in coordination with risk and health and safety teams to maintain office emergency action plan and ensure office safety equipment is stocked and serviceable.
Knowledge, Skills and Abilities Required
- Bachelor’s degree in related field or equivalent education and/or experience.
- 5 years of administrative support experience; previous experience in a managerial or supervisory role preferred. Professional service industry experience a plus.
- Demonstrated experience effectively managing multiple priorities and projects with critical deadlines as well as exceptional planning and organizational skills.
- Outstanding interpersonal, written, and verbal communication skills with capability to develop and maintain productive working relationships with individuals at all levels of responsibility.
- Results orientation, with strong business acumen and problem-solving skills preferred.
- Proficiency with Microsoft Office tools (Word, PowerPoint, Excel)
- Desire to learn about and implement productivity improvements for daily tasks using AI tools (e.g. CoPilot, ChatGPT, Claude)
Physical Requirements / Work Environment
- Normal office environment with moderate noise levels, occasional lifting of up to 25 lbs., prolonged sitting, and regular walking, bending, standing and reaching.
- Ability to perform consistent work on a PC with prolonged view of a monitor/screen.
Our best estimate of the salary range for this position, located in Redmond, WA, is $69,000 – 113,000 annually. Compensation offered will be based on a variety of individual factors, including education and experience, as well as internal equity. GeoEngineers’ salary ranges are reviewed and updated each year and employees are eligible for pay increases based on individual performance. As part of our competitive total rewards package, employees in this role may also be eligible for our annual year-end bonus offering, subject to program eligibility requirements.
