Description
Prometheus Federal Services (PFS) is a trusted partner of federal health agencies. We are seeking a Health Systems Specialist (Mid-Level) to support the Department of Veterans Affairs (VA). This role will provide business, operational, and technical support for healthcare scheduling modernization, interoperability initiatives, workflow analysis, system adoption, and enterprise transformation activities supporting Veteran access to care. The position will work across multiple stakeholders and functional areas to improve healthcare delivery processes, optimize system utilization, and support enterprise-wide modernization efforts.
The Health Systems Specialist will leverage knowledge of VA databases, healthcare information systems, and organizational change management principles to support scheduling, referral management, care coordination, and interoperability initiatives. The ideal candidate will possess experience working within complex healthcare environments and the ability to bridge business, operational, and technical requirements to drive successful outcomes.

Essential Duties and ResponsibilitiesHealth Systems Analysis & Operational Support
- Support analysis, implementation, and optimization of healthcare systems supporting scheduling, referrals, community care, and care coordination activities.
- Document and evaluate operational workflows, business processes, and system interactions across VA healthcare environments.
- Analyze current-state and future-state workflows to identify process improvement opportunities and operational efficiencies.
- Support initiatives designed to enhance Veteran access to care through improved scheduling and care coordination practices.
- Collaborate with stakeholders to understand operational challenges and recommend solutions aligned with enterprise objectives.
VA Systems, Data & Business Process Support
- Apply knowledge of VA databases, healthcare information systems, and system interrelationships to support modernization initiatives.
- Analyze system requirements, business needs, and stakeholder requests and translate them into actionable recommendations.
- Support data collection, validation, reporting, and performance monitoring activities.
- Assist in the development and maintenance of business requirements, workflows, process maps, and operational documentation.
- Collaborate with technical teams to support system enhancements, implementation activities, and issue resolution efforts.
Scheduling Modernization & Interoperability Support
- Support implementation and sustainment activities related to Enterprise Patient Scheduling (EPS) and associated healthcare modernization programs.
- Assist in the assessment and documentation of scheduling, referral management, provider data exchange, and care coordination workflows.
- Support standards-based interoperability efforts by helping coordinate business and operational requirements across systems and stakeholders.
- Participate in solution analysis and operational readiness activities supporting deployment initiatives.
- Assist in identifying workflow gaps and recommending improvements to enhance scheduling efficiency and user experience.
Change Management & Adoption
- Apply organizational change management methodologies to support adoption of new technologies, workflows, and business processes.
- Assist in stakeholder engagement efforts designed to increase awareness, readiness, and adoption of new capabilities.
- Support the development of communication plans, training materials, job aids, and user support resources.
- Monitor adoption, utilization, and performance metrics and identify opportunities for continuous improvement.
- Support organizational readiness assessments and change impact analyses for modernization initiatives.
- Participate in user feedback collection and lessons learned activities to improve future implementation efforts.
Training, Communication & Stakeholder Engagement
- Support development and delivery of role-based training materials and knowledge-transfer resources.
- Facilitate meetings, working sessions, and stakeholder discussions to gather requirements and communicate project updates.
- Prepare reports, presentations, meeting summaries, and briefing materials for leadership and stakeholders.
- Serve as a liaison between operational users, technical teams, and program leadership.
- Communicate complex system and process information clearly to diverse stakeholder audiences.
Performance Measurement & Continuous Improvement
- Support the development and tracking of operational, adoption, and performance metrics.
- Assist in evaluating system performance and effectiveness against established objectives.
- Contribute to quality management, process improvement, and operational readiness initiatives.
- Document findings, recommendations, risks, and lessons learned to support continuous improvement efforts.
- Support program leadership in monitoring project milestones, risks, dependencies, and outcomes.
- Master's degree in Health Administration, Public Health, Business Administration, Information Systems, Healthcare Informatics, or a related field.
- Minimum of 6 years of professional experience supporting healthcare operations, health information systems, healthcare transformation initiatives, or related programs.
- Knowledge of Veterans Administration (VA) databases, healthcare systems, and their interrelationships.
- Experience supporting healthcare system implementation, modernization, or operational improvement initiatives.
- Working knowledge of project management tools, methodologies, and techniques.
- Experience applying organizational change management principles and practices.
- Strong analytical, problem-solving, and critical-thinking skills.
- Experience developing business requirements, workflow documentation, and operational analyses.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to work effectively with cross-functional teams and stakeholders.
- Authorized to work in the U.S. indefinitely without sponsorship.
- Ability to obtain and maintain a Public Trust clearance.
- Experience supporting the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), or other federal healthcare organizations.
- Experience supporting healthcare scheduling, referral management, community care, or interoperability initiatives.
- Knowledge of healthcare data exchange standards, healthcare information systems, and clinical workflows.
- Experience supporting enterprise system deployments, adoption programs, or healthcare modernization efforts.
- Familiarity with Agile project delivery methodologies.
- Experience developing training, communications, or organizational change management deliverables.
- Certification in Change Management, Project Management, Lean Six Sigma, or a related discipline.
- Experience supporting performance measurement and process improvement initiatives within healthcare settings.
