Prime Corporate Services is seeking a Legal Operations Coordinator to support the Legal Department by coordinating legal requests, maintaining organized matter records, tracking deadlines and follow ups, and helping ensure requests move efficiently from intake through resolution.
Reporting to the Legal Operations Manager, this role serves as a central coordination point between Legal and internal business teams. The Coordinator gathers complete information, organizes supporting materials, tracks ownership and next steps, maintains accurate records, and proactively follows up with stakeholders so matters are ready for substantive legal review.
This is a hands-on coordination role focused primarily on legal intake, matter administration, project coordination, and paralegal support. Approximately 90% of the role is dedicated to legal coordination and matter support, with approximately 10% supporting broader Legal Department operations, including process improvement, reporting, KPIs, OKRs, and departmental initiatives.

Requirements
- Serve as a central coordination point for internal legal requests and help ensure each request is complete and organized before substantive legal review
- Review incoming requests, categorize and route them appropriately, and document the responsible owner, deadlines, next actions, and current status
- Follow up with requestors and internal stakeholders to obtain missing facts, documents, approvals, deadlines, and other information required by Legal
- Maintain accurate records for active legal matters and projects, including assignments, deadlines, dependencies, outstanding items, handoffs, and closure status
- Coordinate meetings, document collection, signatures, internal communications, and other administrative steps associated with legal matters
- Provide paralegal and administrative support to the General Counsel and Legal Operations Manager, including document preparation, research coordination, file organization, and information gathering
- Maintain the Legal Command Center and other approved Legal Department systems, and identify overdue items, stale matters, unaccepted handoffs, and potential dropped items
- Support the development and maintenance of Legal Department SOPs, templates, checklists, workflows, process improvements, automation, and system adoption
- Track and report legal request volume, matter status, turnaround time, completion rates, KPIs, OKRs, and other operational metrics, while coordinating effectively with teams across the business
Accountabilities:
The Legal Operations Coordinator is accountable for:
- Ensuring legal requests are complete, organized, and ready for review, with a target of 90% or greater received with the information needed to proceed
- Maintaining timely follow up and matter closure, with a target of 95% or greater for on-time follow up and closure activities
- Reducing time spent by Legal leadership on intake, scheduling, information gathering, and routine follow ups, with a target reduction of 50% or greater
- Maintaining accurate and current matter records, including status, ownership, deadlines, next actions, and relevant documentation
- Escalating urgent, sensitive, high risk, or time critical matters to Legal leadership promptly and with appropriate supporting information
- Creating clear ownership and accountable handoffs so requests, deadlines, and follow ups do not fall through the cracks
- Supporting improved turnaround time, communication, and internal stakeholder experience with the Legal Department
- Providing reliable reporting and helping create scalable operational processes that support the Legal Department as the business grows
Minimum Education Requirements:
- High school diploma or equivalent required
- Associate or bachelor's degree in Legal Studies, Business Administration, Operations, or a related field preferred
Minimum Experience Requirements:
- 2+ years of relevant experience in legal operations, paralegal support, legal administration, project coordination, matter management, compliance, or a similar professional environment
- Demonstrated ability to manage multiple requests, deadlines, stakeholders, and priorities simultaneously with strong attention to detail and follow through
- Experience supporting an in-house legal department, law firm, compliance team, or professional services environment preferred
- Experience with legal intake, matter tracking, document organization, contract or workflow support, and handling confidential information
- Experience creating or maintaining SOPs, workflows, dashboards, KPI reporting, or other operational process documentation preferred
Required Outside Training:
- Paralegal certificate or comparable legal support training preferred, but not required
- Project management, legal operations, process improvement, Lean, or similar operational training preferred
- Strong proficiency with Google Workspace and Microsoft Office, with the ability to learn matter management, workflow, document management, and reporting systems
