Our Cost Management team is looking for a Team Administrator to help keep the team running smoothly and efficiently. This is a permanent, full-time role based in the Auckland office five days a week, with some flexibility to work from home on occasion.
This is a rewarding role where your focus will be on providing high-quality administrative and operational support to the team across Auckland, Hamilton, Wellington and Christchurch. Working closely with our Section Manager, you'll play a key role in helping the team operate efficiently, coordinating priorities, supporting team leaders, and ensuring important people and business processes stay on track.

Overall, you will be responsible for:
- Providing proactive, end-to-end administrative support for the Cost Management team, ensuring day-to-day operations run smoothly across multiple locations.
- Supporting the Section Manager and Team Leads with diary management, reporting, meeting coordination, and general administrative support.
- Coordinating section meetings and team events, including preparing agendas, presentations, meeting materials, taking minutes, and managing follow-up actions.
- Supporting the team to coordinate and respond to bids, including preparing submission materials, managing inputs, and tracking deadlines.
- Monitoring team dashboards and proactively coordinating activities such as timesheet completion, performance review cycles, job management reviews, development discussions, and other key team priorities.
- Supporting and promoting Beca’s wellbeing and health and safety initiatives, tracking mandatory training completion, and following up with team members as needed.
- Supporting staff through onboarding and offboarding processes and helping organise and track travel, leave, and timesheets.
- Supporting project delivery through project administration and financial management tasks; experience with Oracle/Dynamics will be highly regarded.
- Maintaining systems, documentation, and records, including document editing and formatting, archiving, organisational charts, and SharePoint content management.
- Supporting office management activities such as purchasing, PPE tracking, stationery ordering, and mail coordination.
- Working closely with the wider Project, Strategy and Delivery administration team to share knowledge, improve processes, and deliver a consistent team experience.

You'll bring:
- Proven experience in a Team Administrator or Business Support role
- Proven ability to coordinate and track multiple activities simultaneously, using reporting tools and dashboards to drive follow-through and accountability.
- Creative thinking and a solutions-focused approach that builds strong working relationships.
- Confident written and verbal communication skills, with the ability to adapt your style for different audiences.
- A positive attitude and enjoyment of problem solving, particularly in times of ambiguity.
- Resilience and adaptability when navigating change or competing priorities.
- Excellent organisational skills and the ability to manage multiple, shifting deadlines.
You'll be comfortable working within a Microsoft 365 environment and confident using digital tools for document management and collaboration.
You're open to new and efficient ways of working. Experience using SharePoint and Oracle is an advantage.
