Logistics and Warehouse Assistant

Role summary:

To manage the Warehouse & Distribution functions by ensuring that all process and activity of Incoming and Outgoing are according to Customer needs and requirements. To receive & store the finished products into warehouse(s) and dispatched both efficiently and cost effectively. The position requires complying to the order to remittance process as above and ensuring that the OTR Process is always adhering. The incumbent will also make improvements to the OTR process where appropriate to head up and drive to Exceed Customer Expectation.

General Job Functions

1.     Ensuring all the related procedures relating to Warehouse &Distribution is maintained to ensure quality services provided.  This covers the entire distribution and transportation management with quick response for prompt delivery in full on time error free.

2.     Ensure that products received are stored properly, meeting quality packaging and delivering to satisfy customer’s requirement. This is to maintain and enhance the company’s image in the market.

3.     To directly supervise employees, ensuring that they are fully utilised in their assigned tasks, working safely and not endangering either themselves or the product in any way are fully aware of what is expected of them through regular communication and on job training as and when necessary.

4.     Co-ordination work in between Sales, Customer, Production and Transport Company to be in timely manner and prompt, to ensure efficiency of distribution process.

5.     Co-ordination with forwarding agents with regards to export and import shipment in the absence of Logistics Administrator / Logistics Executive.

6.     Handling customers complaint and respond promptly, to come out with immediate action plan, improvement, and prevention from reoccurrence both internally and externally. (Customer Focus)

7.     To maintain excellent housekeeping in the warehouse at a high standard. To ensure aisles and exits are always kept clear.

Key responsibilities and activities include, but is not limited to:  

1. Establish and maintain the trucks loading plan by daily basis

2. Monitoring and passing necessary delivery note to CS team by weekly basis.

3. Liaise with transporter on the day-to-day trucking booking.

4. Ensure the PGI and necessary shipping document is generate after finished goods loaded

5. Familiar with ISO 9000.quality Management System.

6. Directly involved in the Semi and Annual Stock Takes targeting to Stock Accuracy at 90%.

7. Communicate with forklift driver team on the loading matter, to ensure smooth distribution of both inbound and outbound activities of the total business.

8. Monitoring and passing necessary judgements to effectively deal with phone calls and enquires.

9. STO share point information update.

10. To prepare/ generate the packing list for shipment.

11. To ensure right finished goods of the right quantity & quality are received and proper records are maintained in system.

12. Day to day backflushing of finished goods produced and reports as requested by the logistics team.

13. Responsible for accurate physical stocks against system. 

14. Efficient & Effective stock control and accuracy of Finished Goods.

15. To constantly monitor and review the stock level with the objective to be stock movement contributing to accuracy of stock level where necessary.

16. Maintain workplace safety awareness and ensure zero workplace accidents and injuries.

17. All matters outside job scope, authority and dimension is to be referred to Logistics manager for approval.

Required Skills & Experience  

• • SAP knowledge
  • Functional and operational know-how in delivery arrangement and processes.
  • Basic knowledge of inventory management and shipping terminology
  • Additional experience in warehousing is advantageous, although not mandatory
  • Meticulous and detailed oriented with attention to delivery high level of data accuracy

Other Requirements:

Education: Must possess at least an SPM, STPM, Diploma, or Degree qualification, preferably in a related discipline.
