Are you highly organized, detail-oriented, and ready to play a critical behind-the-scenes role in supporting public safety? The Madison Police Department is looking for a motivated individual to join our team in the Property Room! This position involves responsible physical and administrative work, including the receipt, storage, issuance, and disposal of property and evidence acquired by the department. You’ll use your advanced recordkeeping skills, attention to detail, and knowledge of various computer systems to ensure accuracy, security, and strict adherence to departmental property and evidence procedures. The work may also involve other miscellaneous functions associated with police vehicles and equipment, adding variety to your day-to-day responsibilities. Work is performed with minimal direct supervision, although the disposition of property must be authorized by a supervisor or commissioned officer. This series is structured to provide for career progression from Police Property Clerk 1 to Police Property Clerk 2 based upon the employee obtaining International Association for Property and Evidence (IAPE) Certification and demonstrating independent oversight responsibility for the Vehicle Impound Facility and the other tasks associated with the Police Property Clerk 1 position, but generally at most within two (2) years of starting employment as a Police Property Clerk 1.

Maintain Property and Evidence:
  • Receive, store, transfer, retrieve and release impounded, abandoned, unclaimed and recovered stolen property and evidence.
  • Maintain proper chain of custody of property/material from receipt through final disposition of property and evidence via the Law Enforcement Records Management System.
  • Conduct and reconcile audits and inventories of the property and evidence control system.
  • Maintain and clean equipment associated with property handling and storage.

Customer Service:

 Customer Service:
  • Respond to and resolve in-person, telephonic, written, and/or email inquiries regarding property from internal and external customers. 
  • Prepare correspondence to owners, commissioned officers, Police Property Supervisor, and multiple outside agencies.
Perform related work as required.
  • Two (2) years of experience performing stock clerk and/or related computerized recordkeeping functions.
-OR-
  • Associate's degree or higher in criminal justice, supply chain management, business administration or a closely related field.
-OR- 
  • Bachelor's Degree from an accredited college or university.

-OR-
  • Two (2) years of experience in applying the following:
    • Filing and recordkeeping procedures, including experience with data entry and retrieval of data utilizing a personal computer and networked programs and software.
    • Warehouse principles and concepts.
    • Computer software applicable to the duties of the position, including familiarity with the Internet to locate resources and perform research in support of a variety of departmental procedures.
  • Familiarity with the following:
    • Chain of custody procedures as it relates to handling and storing evidence.

  • Possession of a valid driver's license. 
  • A pre-employment drug screen will be required for this position.
  • Ability to be bonded.
  • Ability to obtain and maintain Transaction Information for the Management of Enforcement (TIME) Certification. Failure to obtain the certification/access within 12 months of hire may result in forfeiture of the position, absent extenuating circumstances. Because of this certification, candidates must undergo a thorough background check including fingerprints, and will be disqualified based on FBI guidelines.

Physical Requirements
  • Ability to drive a large vehicle.
  • Ability to lift and carry objects weighing up to 50 pounds.  
  • Ability to bend and reach for packages, tolerate heights, and work on ladders and mechanical lifts. 
  • Ability to sit or stand for long periods at a desk and move repeatedly between desk and help window.
