High school diploma (or equivalent)
Two (2) years of administrative experience.
Experience in a medical or healthcare administrative setting is highly preferred.
Specific Duties
Maintain Soldier medical/dental records in accordance with Army Regulation (AR) 40-66.
Document Security: In accordance with AR 40-66, safeguard all medical records, including electronic and physical files, from unauthorized access. Disseminate information strictly on a 'need-to-know' basis to authorized personnel.
Create, maintain, and process medical records for current members using the Paper Record Tracking (PRT) system.
Create medical records for new accessions upon receiving the enlistment order.
Process medical records for individuals scheduled for Basic Military Training, Schools, Transfer, Discharge, Retirement and all MRE’s.
Prepare medical records for individuals scheduled for MRE’s and physical exams.
File documentation in individual medical/dental records in both the hard copy file and in the electronic Health Readiness Record (HRR).
Contact mobilization stations and coordinate the preparation, package, ship, and track Service Treatment Records (STR) in accordance with AR 40-66.
Process Release of Information (ROI) requests in accordance with AR 40-66.
Conduct annual medical/dental record inventory.
Perform quality assurance checks on incoming medical/dental records and track all discrepancies to closure monthly.
Scrub electronic data system modules before medical/dental events.
Administrative charting and System Management: Ensure all administrative data entry and updates in MHS Genesis, eCase, DENCLASS, MEDPROS, and other required electronic health systems are completed accurately and within the timelines established in the Performance Requirements Summary (PRS).
Case Reviews: Participate in all scheduled case review meetings. Ensure documentation reflects that every Soldier with an open case is actively tracked and has been reviewed or contacted at least once every 90 days.
Ensure all medical/dental documentation received is placed in appropriate electronic record and Soldier’s hard copy record.
Stamp all medical/dental documents for verification after uploading.
Required Skills and Proficiencies
Strong organizational skills.
Strong communication skills, both written and oral.
Basic knowledge of standard office procedures and the ability to interpret general instruction.
Knowledge and experience needed to use Microsoft Office Suite including but not limited to MS Teams, Excel, Word, and Outlook.
