Summary
The HR Administrative Assistant provides overall support across all HR functional areas including but not limited to areas such as: employee relations, training and development, benefits administration, compensation, recruitment, departmental development, and HRIS.
Requirements
Essential Duties and Responsibilities:
Human Resources
Administer and oversee the company's Training and Development initiatives, including researching, assigning, tracking, and monitoring employee curriculum and training completion.
Submit, track, and manage workers' compensation and vehicle insurance claims. Monitor claim progress and collaborate with stakeholders to achieve timely and satisfactory resolutions.
Coordinate new hire onboarding processes, including initiating pre-employment requirements, monitoring completion of hiring activities, and preparing onboarding packets, payroll documentation, and benefit enrollment materials.
Support employee engagement initiatives, assist with social media content development, and contribute to the production and distribution of the company's quarterly newsletter.
Audit benefit and vendor invoices for accuracy, ensuring employee elections align with payroll deductions and resolving discrepancies as needed.
Maintain and manage renewal schedules for Department of Transportation (DOT) medical certifications, including scheduling appointments, monitoring completion, and maintaining required documentation within DOT files.
Accurately maintain, update, and report employee records, including personal information, compensation, benefits, tax documentation, performance evaluations, hires, terminations, and other employment-related data while ensuring compliance with applicable laws and regulations.
Interpret and apply company policies and federal, state, and local regulations related to payroll and human resources functions, including wage and hour laws, overtime calculations, leave administration, and other employment requirements.
Assist in ensuring employee information is current, complete, and accurately maintained within HRIS and related systems.
Administrative and Compliance Responsibilities:
Participate in ongoing professional development and training to maintain current knowledge of human resources practices, payroll processes, legal requirements, and regulatory changes.
Maintain strict confidentiality of employee, company, and business information in accordance with company policies and applicable legal requirements.
Respond promptly and professionally to internal and external inquiries, providing accurate information and support while delivering exceptional customer service.
Assist with special projects, filing, record retention, and other administrative tasks as assigned.
Perform additional duties and responsibilities as assigned to support departmental and organizational objectives.
Preferred Qualifications and Desired Skills:
Ability to maintain the highest level of confidentiality as part of the confidential nature of human resources and payroll related work.
Strong attention to detail, above average accuracy, strong organizational skills.
Strong numerical aptitude, math, reading, and comprehension skills.
Strong work ethic and dependability.
Technologically proficient – mid-level to advanced Excel skills preferred, competent in Word, PowerPoint and email.
Tact and above average communication skills – verbal, written, listening.
Ability to create professional correspondence and communications with proficiency in grammar, spelling, etc.
Ability to work effectively with, and convey a positive, courteous, and professional image to, all associates, applicants, vendors, etc.
2 years related experience,
Degree or equivalent experience preferred.
Physical/Mental Requirements:
Regularly required to speak clearly, hear; identify numbers, read and comprehend written and verbal material and instructions.
Regularly required to apply sound reasoning and logic performing daily tasks.
Regularly performs sedentary work that involves walking or standing some of the time, and performs routine keyboarding operations.
Ability to effectively multi-task and deal with change positively.
