Job Description:
Overview
We are seeking a confident and highly professional Senior Receptionist to act as the first point of contact for all visitors, clients and staff. This is a pivotal front-of-house role that requires exceptional interpersonal skills, immaculate presentation and the ability to manage multiple priorities in a fast-paced, corporate setting.
As Senior Receptionist, you will be responsible for delivering a seamless front-office experience while supporting wider office operations and assisting with internal events and meeting room coordination.
Key Responsibilities
- Provide a warm, professional welcome to all guests, clients and visitors upon arrival
- Promptly notify relevant staff of guest arrivals and manage all visitor check-ins
- Manage the preparation and service of refreshments and liaise with catering suppliers as required
- Ensure the reception area and meeting rooms are impeccably maintained, fully stocked with stationery and up-to-date marketing materials
- Replenish stock in the client kitchen, breakout room, stationary cupboard daily and proactively ordering when supplies need to be restocked
- Maintain an organised display of current marketing brochures, newspapers and relevant industry publications
- Set up all AV and video conferencing (VC) equipment for meetings; ensure the correct technology is in place and functioning ahead of time
- Take ownership of the meeting room booking system, ensuring efficient use of space and avoiding scheduling conflicts
- Support the organisation and delivery of internal events, including staff lunches, team meetings and client entertainment
- Manage all incoming and outgoing post, couriers and deliveries efficiently and securely
- Continuously review and improve front-of-house procedures to enhance efficiency, client service and brand presentation
- Assist with ad hoc administrative tasks for guests and staff, including photocopying, scanning, filing and running general errands
- Manage visitor sign-in processes in line with security protocols, including issuing passes and liaising with building security when required
- Assist with the onboarding of new staff members, including office tours, introductions to staff & office passes
- Assist the Office Manager with facilities-related queries, reporting maintenance issues and coordinating with building management or external vendors as necessary
- Covering for the Office Manager during absence, holidays etc.
