  • Hours of Work: Monday – Friday 8:00am to 5:00pm. 

  • Screening will begin ASAP and continue until the position(s) is filled.

  • Start date to be determined, but as soon as practicable after the hiring/interview process.

Salary and Benefits: This is a full-time, benefited Staff, S27 level position. Starting salary range: $19.38 - $23.74/hourly, depending upon experience.

JOB SUMMARY
The Administrative Assistant III is a full-time, benefited position in the President’s Office responsible for providing administrative and operational support to functions not assigned to the Manager, Executive Operations. This position supports the Chief Experience Officer (CXO); provides administrative services for Communications & External Relations; and assists with executive office coordination efforts across the institution. The role ensures efficient day-to-day administrative operations through scheduling, document preparation, communication coordination, purchasing support, and customer service, while professionally representing the College in a -high-profile environment. 

PRINCIPAL RESPONSIBILITIES AND RESULTS

Administrative Support (President’s Office & Office of Student Experience)
  • Executive time and priorities are optimized through accurate calendar management, effective meeting coordination, timely document preparation, professional correspondence, and responsive administrative support for the Chief Experience Officer. 
  • Continuity and responsiveness within the President's Office and Office of Student Experience are maintained through dependable day-to-day coordination, timely follow-through, and appropriate resolution or escalation of administrative needs. 
  • Executive decisions and commitments move forward through accurate documentation, communication, tracking, and follow-up of action items from executive meetings. 
Office of Marketing & Communications Administrative Support
  • Daily operations of the Office of Marketing & Communications remain efficient and responsive through coordinated scheduling, meeting support, travel assistance, and administrative logistics. 
  • Purchasing, payment, and billing workflows are timely, accurate, and compliant through complete processing and documentation of purchasing requests, billing activity, P-Card activity, invoices, and tax-exempt paperwork. 
  • Marketing projects, events, interviews, and media productions remain organized, on schedule, and aligned with divisional priorities through proactive administrative coordination and follow-through. 
  • Operational continuity and brand stewardship are supported through organized, accurate, and accessible departmental files, brand assets, and administrative records.
Operational and Office Coordination
  • Faculty, staff, students, and external stakeholders receive prompt, professional service, and inquiries reach the appropriate resource through accurate assessment, routing, and follow-up. Accurately process supplies, forms, and records, supporting efficient internal workflows, and minimizing administrative bottlenecks.
  • Internal workflows remain efficient and administrative delays are minimized through timely and accurate processing of supplies, forms, and records.
  • Seamless operational coverage is maintained through ongoing collaboration, clear handoffs, and shared awareness of responsibilities among team members.
  • Provide effective ongoing collaboration with other team members, ensuring responsibilities are clearly aligned, and operational coverage remains seamless.
Communication, Documentation, and Records Management
  • Records remain accessible, compliant, and reliable through organized maintenance of electronic and physical files in accordance with applicable retention and documentation standards. Maintain electronic and physical records in accordance with retention and documentation standards, ensuring accessibility, compliance, and continuity across offices.

Meetings, Events, and Special Projects
  • Meetings and events are executed smoothly through coordinated schedules, logistics, materials, communications, and on-site administrative support. 
  • Institutional events and initiatives deliver organized operations and positive stakeholder experiences through responsive administrative support before, during, and after each activity.
  • Special projects and administrative initiatives advance on schedule through flexible coordination, progress tracking, documentation, and follow-up that reinforce shared accountability across executive offices.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge
  • Administrative and office procedures and systems, including document preparation, scheduling, file management, records administration, and workflow coordination. 
  • Customer and personal service principles and professional communication practices for serving faculty, staff, students, and external stakeholders in a high-profile environment. 
  • Purchasing, P-Card, invoice, tax-exempt documentation, and basic budget control and administrative financial procedures. 
Skills 
  • Written and verbal communication, including preparing, proofreading, editing, and distributing accurate professional correspondence and documents. 
  • Organization and time management, including coordinating multiple calendars, meetings, travel arrangements, tasks, and deadlines. 
  • Proficiency with Microsoft Office Suite, Microsoft Outlook, data entry, and relevant administrative software used to maintain accurate information and complete job tasks. 
Abilities 
  • Maintain attention to detail and accuracy while managing competing priorities, interruptions, and time-sensitive requests. 
  • Exercise sound judgment and problem sensitivity to identify administrative needs, resolve routine issues, route inquiries, and escalate concerns appropriately. 
  • Communicate and collaborate professionally with diverse stakeholders while maintaining confidentiality, discretion, dependable follow-through, and service continuity. 

PHYSICAL/MENTAL DEMANDS:

  • There may be occurrences of interacting with employees and/or students, past employees and/or students, members of the general public, and others who express opinions, may exhibit strong emotions, which will require the employee to interact professionally, diplomatically, and appropriately in such situations
  • While performing the essential duties of this position, an employee would frequently be required to move around the assigned work areas as well as within hallways, meeting rooms, and other parts of the campus facilities
  • There may be multiple/daily instances of prolonged sitting, standing, and personal computer use, which would include keyboard and/or mouse usage as well as viewing a computer monitor
  • An employee must be able to lift and/or move up to 20 pounds 
  • Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus
  • The overall work environment requires the mental ability to shift focal point quickly due to interruptions; an employee must be able to mentally track multiple projects and tasking as well

Minimum Qualifications
  • Associate’s degree from an accredited college or university in business, communications, office administration, or a related field
  • Two years of experience providing administrative assistance in a detail-oriented, computerized, or data driven environment.
  • Demonstrated proficiency with Microsoft Office Suite applications, including Word, Excel, Outlook, and PowerPoint.
  • Valid Driver’s License and ability to meet eligibility requirements to be insured under the College’s insurance provider.
In lieu of the required degree, candidates with equivalent professional experience, industry certifications, or a combination of education and relevant work experience may be considered. 

Preferred Qualifications
  • Bachelor's degree from an accredited college or university in business, communications, office administration, or a related field.
  • Five years of experience providing administrative assistance in a detail-oriented, computerized, or data driven environment.
