Job Summary

Are you a highly organized, customer-service focused professional who enjoys being at the center of a busy healthcare practice? Our Neurology and Spine team is seeking a Clinic/Practice Assistant to help create a smooth, welcoming, and efficient experience for patients from the moment they arrive through the completion of their visit. In this role, you’ll serve as an important point of contact for patients, providers, and care team members—helping keep daily operations running seamlessly.

Location: 4 Centennial Drive, Peabody, MA

Schedule: 40 hours per week, Monday through Friday, during practice hours of 8:30 a.m. to 5:00 p.m. Hours are flexible.

What You’ll Do
• Welcome and assist patients, helping create a positive and professional experience.
• Schedule patient appointments, maintain appointment records, and support check-in and check-out processes.
• Answer phone calls, assist with routine inquiries, take messages, and help route questions appropriately.
• Support patient documentation by filing materials, printing schedules, scanning documents, and helping maintain accurate records.
• Assist with patient billing forms, co-payments when needed, and other front-desk responsibilities.
• Help coordinate information such as medical records, laboratory test results, prior authorizations, prescription refill messages, provider questions, and test result inquiries.
• Use scheduling, registration, and billing systems, and serve as a resource to others as needed.
• Support more advanced administrative functions such as surgical scheduling, schedule changes, or template blocking based on department needs and competency level.


 

Qualifications

  • High school diploma or equivalent required.
  • 2–3 years of office experience required.
  • Strong customer service skills and the ability to communicate clearly with patients, providers, and team members.
  • Proficiency with Microsoft Office and general office procedures, including filing, scanning, printing, copying, and faxing.
  • Ability to manage phone calls, take accurate messages, and help resolve routine questions appropriately.
  • Excellent organization, time management, and multitasking skills.
  • Certified Medical Administrative Assistant (CMAA) preferred.
  • Experience in a community-based medical practice preferred.
  • Epic experience preferred.
