Job Description Summary

Under limited supervision and with a high degree of accuracy and attention to detail, the Client Administrative Support Associate supports the operational functions of the RIA & Custody Services (RCS) division. This role is responsible for executing key business processes related to client administration, firm and user onboarding/offboarding, billing support, data maintenance, reporting, and operational controls.
The associate serves as a critical support partner to multiple departments across RCS and collaborates with internal stakeholders to ensure operational excellence, regulatory compliance, and a positive client experience. This position requires strong organizational skills, problem-solving abilities, adaptability, and a commitment to continuous process improvement.

Job Description

Essential Duties and Responsibilities

  • Perform daily operational activities related to firm onboarding, offboarding, account maintenance, billing coding, user access administration, and data entry.
  • Support advisor transitions and platform administration within the RCS environment.
  • Execute operational workflows accurately while ensuring adherence to departmental policies, procedures, and service level expectations.
  • Research, troubleshoot, and resolve operational issues and escalations in a timely manner.
  • Maintain and update client, firm, and user records across multiple systems and applications.
  • Prepare, review, and distribute recurring reports while ensuring data accuracy and completeness.
  • Partner with RCS Service, Finance, Risk, Sales, Client Engagement, Compliance, and Technology teams to support business initiatives and operational needs.
  • Monitor case workflows and identify opportunities to improve efficiency, accuracy, and client experience.
  • Help maintain, and update departmental documentation including procedures, job aids, training materials, forms, and process maps.
  • Maintain key performance indicators (KPIs), productivity metrics, and SLAs.
  • Participate and assist in identifying trends, root causes, and corrective actions.
  • Contribute to cross-functional projects and department initiatives.
  • Perform other duties and special projects as assigned.

  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.

  • Strong collaboration and teamwork skills.

Required Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Minimum one to three years of operations, administrative, client service, financial services, or related experience.
  • Experience working within operational workflows, support functions, or business process environments.
  • Experience handling sensitive and confidential information appropriately.
  • Demonstrated ability to learn new systems, processes, and technologies quickly.

Preferred Qualifications

  • Experience within financial services, wealth management, broker-dealer, RIA, or custody services environments.
  • Knowledge of onboarding/offboarding processes, account maintenance, billing administration, or service operations.
  • Experience supporting process improvement initiatives and operational controls.
  • Familiarity with workflow management systems, reporting tools, and data management processes.
  • Experience using AI-enabled productivity tools and automation solutions to improve operational efficiency.

Education

Bachelor’s: Accounting, Bachelor’s: Actuarial Science, Bachelor’s: Applied Mathematics
