POSITION SUMMARY
The Enrollment Assistant is an entry-level, in-person, part-time role that provides operational and administrative support across Network Operations, with a primary focus on network-wide enrollment initiatives. Working closely with the Enrollment Coordinator and school Operations teams, the Enrollment Assistant helps prospective and newly enrolled families move successfully through application, registration, and enrollment.
The role supports family outreach, registration activities, enrollment events, data tracking, family communications, and accurate recordkeeping. Success requires strong follow-through, attention to detail, responsive customer service, and consistent execution of established enrollment processes.
PRIMARY RESPONSIBILITIES
- Conduct timely family outreach and follow-up regarding applications, registration requirements, outstanding documentation, upcoming events, and enrollment next steps.
- Enter, update, and maintain accurate enrollment information across PowerSchool, Salesforce, enrollment trackers, and other approved systems.
- Monitor application, registration, and enrollment progress and identify families requiring additional follow-up or escalation.
- Prepare and distribute approved family-facing enrollment communications through ParentSquare and other communication platforms.
- Prepare registration packets, enrollment materials, signage, supplies, and other resources needed to support enrollment activities.
- Support the execution of network-wide enrollment initiatives in partnership with the Enrollment Coordinator and Network Operations team.
EVENT & CAMPUS SUPPORT
- Coordinate and support logistics for registration days, open houses, family information sessions, orientations, and other enrollment-related events.
- Provide on-site support to school campuses during high-volume enrollment and registration periods, as scheduled.
- Partner with school Operations teams to support consistent implementation of network enrollment processes and expectations.
- Maintain organized enrollment records, trackers, and documentation and flag data gaps, trends, or areas requiring attention.
- Provide additional administrative and logistical support related to enrollment priorities as assigned.
ROLE PARAMETERS & ESCALATION
The Enrollment Assistant executes established enrollment procedures and assigned activities. The position does not independently establish enrollment policy, determine enrollment eligibility, or modify network enrollment procedures. Questions, exceptions, or matters requiring judgment should be escalated to the Enrollment Coordinator or Chief Operating Officer.
QUALIFICATIONS
- High school diploma or equivalent required.
- Previous experience in customer service, school operations, enrollment, administrative support, community engagement, or a related environment preferred.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities while meeting deadlines.
- Strong written and verbal communication skills and comfort communicating directly with families, school-based staff, network staff, and external partners.
- Demonstrated ability to provide welcoming, solutions-oriented customer service in a fast-paced environment.
- Ability to work independently while collaborating effectively across teams and campuses.
- Comfort learning and working across multiple technology platforms and operational systems.
- Experience with Google Workspace preferred; experience with PowerSchool, Salesforce, ParentSquare, or similar platforms is a plus.
- Ability and willingness to travel between school campuses as needed.
- Ability to communicate professionally and effectively with families from diverse backgrounds; bilingual skills are a plus where relevant to the communities served.
SCHEDULE & WORK ENVIRONMENT
This is an in-person, part-time position scheduled for 24 hours per week, generally worked as three 8-hour days. The regular workdays will be established at hire. Limited schedule adjustments may be requested in advance to support major enrollment events, school opening, orientation, or other high-volume periods. Additional hours must be approved in accordance with organizational timekeeping and scheduling practices.
The role requires regular interaction with families and staff, periodic travel between school campuses, and may include standing for extended periods and setting up or transporting enrollment materials during events.
