OVERVIEW
The VP, Loan Operations Officer is the Bank’s Fiserv DNA subject matter expert for loan operations. This position owns the accuracy and integrity of loan boarding and loan servicing on DNA – diagnosing and correcting boarding errors, servicing breaks, and data-integrity issues at their root cause, and establishing the system setups, controls, and procedures that prevent them from recurring. The incumbent is the primary escalation point for DNA loan issues and the Bank’s lead contact with Fiserv on loan system matters. The position also performs and oversees core loan operations functions, including disbursements, payoffs, escrow, participations, and loan reconciliation.
PRIMARY ACCOUNTABILITIES/RESPONSIBILITIES
Fiserv DNA Loan Boarding and Servicing Expertise
- Serves as the Bank's Fiserv DNA subject matter expert for loan boarding and loan servicing, and as the primary point of escalation for DNA loan issues across Loan Operations, Credit Administration, Finance, and IT.
- Reviews and validates new loan boarding in DNA against executed loan documents and approved credit terms – rate, index, margin, floors, payment and amortization schedule, maturity, accrual method, fees, escrow, collateral, participation, and GL / Call Report coding – before the first billing cycle.
- Diagnoses and corrects loan boarding and servicing errors at their root cause, including misapplied payments, incorrect interest accruals, failed rate changes, billing and notice errors, escrow miscalculations, participation mismatches, and GL variances; quantifies customer and financial impact, processes corrections and customer remediation, and documents the resolution.
- Leads a remediation review of the existing loan portfolio in DNA to identify and correct legacy boarding and setup errors, and tracks all items to closure.
- Owns DNA loan product, parameter, and table setup; maintains setup documentation; and coordinates changes with IT under the Bank’s change-control process.
- Builds and runs recurring exception reports and data-integrity checks (e.g., matured loans still accruing, rate resets not processed, escrow balance anomalies, missing or incorrect codes, participation balances versus participant confirmations) and resolves the exceptions.
- Monitors loan-related nightly processing and batch output; researches and resolves exceptions.
- Leads the boarding of bulk loan transfers, including purchased loan pools and participations – data mapping, file import validation, and post-load reconciliation.
- Serves as the Bank’s lead contact with Fiserv on loan system matters – opens and manages support cases, reviews DNA release notes, and leads user acceptance testing of upgrades and new functionality affecting loans.
- Ensures the accuracy of DNA loan data that feeds Call Report, CECL, concentration, and other regulatory and management reporting (call codes, collateral codes, risk ratings, and similar fields).
- Writes and maintains DNA loan boarding checklists and desk procedures; trains Loan Operations, Credit Administration, and lending staff on DNA loan functionality and data standards.
- Supports internal audit, independent loan review, and regulatory examinations with DNA data and reports, and remediates findings related to loan system data integrity.
Loan Operations
- Posts and reviews loan transactions, including new loan disbursements, line of credit and construction advances, loan payments, escrow disbursements and refunds, and incoming loan wires.
- Prepares and verifies payoff statements and processes payoffs, mortgage releases, and the recording of retail mortgages and UCC filings.
- Balances daily loan totals to the general ledger, processes GL entries, and balances the credit card portfolio daily.
- Reconciles participation loan balance confirmations monthly; identifies discrepancies, determines root cause, and recommends or processes adjustments.
- Maintains loan escrow accounts; verifies the annual escrow analysis, follows up on shortages with lending, sends annual letters and refunds, and remits payments to the tax servicing company and insurance agencies.
- Monitors hazard and flood insurance continuation and updates DNA accordingly.
- Oversees daily loan reporting and notices, imaging of closed loans to the archive system, and storage of legal files.
- Evaluates loan operations exceptions and non-routine servicing matters, determines resolution within Bank policy and regulatory requirements, and escalates matters requiring senior management approval.
- Leads or materially contributes to department projects, audits, system enhancements, procedure reviews, and control testing that affect loan operations accuracy, compliance, and efficiency.

Requirements
QUALIFICATIONS

- Expert-level command of Fiserv DNA loan functionality – account boarding, product and parameter setup, rate and index tables, payment and billing schedules, interest accrual, fees, escrow, participations, collateral, GL mapping, and loan-related nightly processing.
- Proficiency with DNA reporting tools and SQL (Oracle) for ad hoc queries, exception reporting, and data validation strongly preferred.
- Ability to read a note, loan agreement, and credit approval and translate the terms into a correct system setup the first time.
- Thorough knowledge of commercial, CRE, and residential loan servicing – interest calculation methods (Actual/360, Actual/365, 30/360), variable-rate and indexed loans with floors and caps, construction and revolving lines, escrow (RESPA), and loan participations.
- Advanced Excel skills (lookups, pivot tables, reconciliation of large data sets); proficient in Microsoft Office.
- Strong root-cause analytical and problem-solving skills – fixes problems permanently rather than working around them.
- Ability to exercise discretion and independent judgment when evaluating non-routine loan operations matters.
EDUCATION and/or EXPERIENCE
- High School Diploma or equivalent required.
- Bachelor's degree in Business, Finance, Accounting, or related field preferred; equivalent Fiserv DNA and loan operations experience will be considered in lieu of a degree.
- Minimum of years of hands-on Fiserv DNA experience in loan operations, loan servicing, or a DNA loan systems role, at a level recognized as a subject matter expert – required.
- Demonstrated track record of diagnosing and permanently correcting loan boarding and servicing errors in DNA, including data clean-up / remediation of existing portfolios – required.
- Experience with DNA conversions, upgrades, product and parameter setup, or bulk loan boarding (purchased loan pools, participations) strongly preferred.
- Experience supporting internal audit, independent loan review, and regulatory examinations preferred.
