Position Purpose:

Coordinates and provides supports of the accreditation of UGME program, and the institutional review by both the Committee on Accreditation of Canadian Medical Schools (CACMS) and the Institutional Quality Assurance Process (IQAP) of the Ontario Universities Council on Quality Assurance the University of Ottawa’s Undergraduate Medical Education (UGME) Program. Coordinates development and oversight of evaluation and analysis of the UGME continuous improvement process of the uOttawa MD training program. Responsible for generating programmatic and site learning environment evaluation reports and providing trend analyses for Undergraduate Medical Education (UGME).



Specific Accountabilities:

Accreditation

  • In conjunction with the Director of Accreditation, and at all educational sites, related to the national medical school accreditation process (CACMS) as well as the Ontario Universities Council on Quality Assurance  (IQAP) process:
    • Responsible for coordination and preparation of the institutional Data Collection Instrument (DCI)
    • Coordinates program preparation of the medical school self study for the full CACMS accreditation as well as the interim accreditation
    • Coordinate the preparation of IQAP reporting
    • Responsible for reporting of accreditation results and tracking of resolution activities for both interim and full accreditation
    • Responsible for reporting of accreditation result for external reviews
    • Provide assistance for strategic planning on accreditation matters, including collaborations with faculty education leadership and hospitals learning experience leads
    • Facilitate education of UGME staff, UGME  leadership, hospital partners, faculty physicians and other interested parties on requirements and compliance needs related to accreditation.
  • Leads all logistics related to internal and external accreditation visits.
    • Provide training and guidance to all interested parties about relevant accreditation processes.
    • Ensure information provided by interested parties is complete and provided within timelines.
    • Prepare participants for the visits through training and preparatory reviews.  Recruit reviewers for the UGME internal process.
  • Manage documentation and reporting requirements for accreditation
    • Organize and coordinate the follow-up on all areas of non-compliance or compliance requiring monitoring between formal accreditation visits for UGME program  
    • Ensure optimal monitoring of elements of the UGME continuous quality improvement (CQI) cycle related to accreditation standards to
      • Facilitate tracking of actions required for identified areas for improvement (AFI)
      • Identify requirements for new policies, terms of reference and procedures
      • Identify requirements for updates to policies, terms of reference and procedures, to ensure they meet or exceed accreditation standards
      • Coordinate, monitor and track quality improvement activities
  • Responsible to stay up-to date with industry trends and best practices to evaluate CQI activities, including collaboration with relevant interested parties such as faculty, administrators, and regulatory bodies, that align with accreditation standards and enhance program quality.
  • Collaboratively responsible for the implementation of systems, structures and processes that assure continuous compliance with accreditation and regulatory standards.
  • Represent uOttawa UGME in meetings related to accreditation
    • Participate in meetings related to CACMS accreditation and IQAP acting as the single point of contact.
    • Participate in meetings of the National Accreditation Coordinators group and the Association of American Medical Colleges (AAMC) meetings.
    • Collaborate with hospital leadership for the accreditation process.
    • Collaborate with the Office of the Provost and the Vice-President, Academic Affairs for the IQAP process
    • Coordinates the activities of the Accreditation Committee.
  • Manage the follow up specified by CACMS, including directing site visits, status reports, response letters, mini-database, Sharepoint and briefing books. 
  • Manage the approach to addressing standards/elements identified as requiring follow up / areas for improvement by CACMS.
  • Oversee the implementation of the Medical School Self Study (MSS) recommendations.
  • Support CQI activities. Adopt evidence-informed, best practices and support CQI activities within the accreditation process.
  • Support management of the various risks (strategic, financial, human resources, IT and operational) and track preventive and corrective measures developed by the respective teams for the necessary plans to ensure the relevant accreditation standards are met.

 

 

Evaluation Analytics

  • Collaborate with UGME leadership to develop and implement comprehensive program evaluation plans that include a range of evaluation strategies, such as surveys, focus groups, interviews, and program assessments. This includes developing evaluation methodologies, collecting and analyzing data, and generating comprehensive reports to identify strengths, weaknesses, and areas of improvement.
  • Develop and manage relationships with external evaluators, interested parties, and partners. Support presentation of performance data to various target audiences to address issues identified in standard UGME CQI efforts.
  • Analyze qualitative and quantitative data and provide meaningful insights and expert advice to the leadership, affiliated hospitals and other interested parties on program improvements.
  • Develop and implement a process for monitoring and reporting on program and learning environment outcomes and performance indicators to support creation of evidence-informed action plans for strategic planning.
  • Facilitate workshops, training sessions, and other learning opportunities for program leadership and faculty on evaluation methodologies and best practices.

Human Resources Management

  • Hiring, supervision and evaluation of direct reports. Ensures staff have the training and tools needed to perform their duties while providing direction efficiently and effectively in solving complex problems. Applies human resources management procedures and regulations.

 

Knowledge, Experience, Competencies, and Skills

Essential Qualifications

  • A minimum of 10 years of progressive leadership experience and project management; and/or an acceptable equivalent number of years of experience and education.
  • University degree in education, evaluation and research methods, or other relevant discipline.  


Other Skills and Competencies

  • Extensive experience in program evaluation – a proven track record of designing and implementing program evaluation methodologies, including data collection, analysis and reporting.  Experience specifically within medical education or healthcare training programs would be highly advantageous.
  • Deep knowledge and experience of national medical school accreditation standards and processes is an asset.
  • Strong analytical skills – proficiency in quantitative and qualitative research methods, including statistical analysis and data interpretation.  The ability to analyze complex data sets and identify meaningful insights is crucial for evaluating effectiveness of medical training programs.
  • Significant knowledge of continuous quality improvement methodology and application to an educational setting
  • Substantial knowledge and experience in the development of business plans, planning documents and advising senior leadership.
  • Strong communication skills including ability to write, review, and edit documents
  • Ability to identify key issues and to carry forward an idea or project from conception to execution.
  • Demonstrated interpersonal skills, with the ability to work with senior leaders, administrators, faculties, staff, students, and other interested parties.
  • Strong leadership, organizational and time management skills, with the ability to manage several projects simultaneously.
  • Experience in resolving varied complex problems independently.
  • Exceptional attention to detail accuracy.
  • Demonstrated tact, diplomacy, judgment, negotiation, leadership, and conflict resolution skills.
  • Excellent presentation skills & ability to communicate complex information to various audiences.
  • Bilingualism – French and English (spoken and written)
