Job Description:
Job Purpose
The Export Airfreight Clerk is responsible for managing airfreight export shipments from initial customer booking through to final departure and delivery. The role ensures shipments are processed accurately, efficiently and in accordance with customer requirements, airline procedures, customs regulations and company standards.
The successful candidate will provide excellent customer service while coordinating with customers, airlines, overseas agents, hauliers and internal departments.
Key Responsibilities
- Manage airfreight export shipments from booking through to completion.
- Receive and process customer shipping instructions.
- Book shipments with airlines and airline handling agents.
- Arrange collections and transportation to airports and handling facilities.
- Prepare and process export documentation accurately and within required deadlines.
- Complete and submit customs export declarations where required.
- Ensure all shipments comply with relevant customs, aviation security and dangerous goods requirements.
- Prepare Air Waybills (AWBs) and other necessary shipping documentation.
- Liaise with airlines regarding bookings, flight schedules, space availability and shipment status.
- Monitor shipments and provide customers with regular updates.
- Identify and resolve operational issues, delays or discrepancies.
- Liaise with overseas agents regarding shipment requirements and pre-alert documentation.
- Prepare and send pre-alerts following shipment departure.
- Check supplier and airline charges and ensure costs are correctly recorded against shipments.
- Produce customer quotations and calculate freight and associated charges where required.
- Ensure files are completed accurately and ready for invoicing.
- Maintain accurate records within the company's freight management system.
- Deal with customer queries promptly and professionally.
- Develop positive working relationships with customers, suppliers, airlines and overseas partners.
- Escalate significant service issues or potential additional costs to management.
- Work closely with colleagues to ensure customer service levels and operational deadlines are achieved.
Skills & Experience
Essential:
- Previous experience within freight forwarding, logistics or an export environment.
- Good understanding of airfreight export procedures.
- Strong organizational skills with the ability to manage several shipments simultaneously.
- Excellent attention to detail.
- Good written and verbal communication skills.
- Confident communicating with customers, airlines, suppliers and overseas agents.
- Strong computer skills, including Microsoft Outlook, Excel and general freight management systems.
- Ability to work under pressure and meet strict cut-off times and deadlines.
- Good problem-solving skills and a proactive approach to resolving operational issues.
Desirable:
- Previous experience specifically within airfreight exports.
- Knowledge of customs export procedures and declarations.
- Experience preparing Air Waybills.
- Knowledge of Incoterms.
- Understanding of aviation security requirements.
- Dangerous Goods awareness or Dangerous Goods by Air certification.
- Experience using freight forwarding/customs software.
