About the Role
Total Wine & More is seeking a Project Analyst, Store Development to join our team in Bethesda, MD. You will develop and maintain project documentation, reporting, and coordination routines that support efficient department operations and project execution. This role works independently on defined project controls, budget tracking, procurement coordination, and status reporting while partnering with Project Managers, Accounting, Procurement, Facilities, vendors, and internal stakeholders. The position helps assess project data, resolve routine coordination issues, and implement consistent processes that improve visibility, accuracy, and timely project progression. You will report to the Vice President, Store Development.
You will
- Develop and maintain project trackers, documentation logs, procurement status updates, and milestone reports to support clear visibility into assigned Store Development projects.
- Assess budget, purchase order, committed cost, forecast, and project status information to identify routine discrepancies, missing inputs, or follow-up needs for Project Managers and department leaders.
- Implement consistent processes for contracts, insurance certificates, schedules, purchase orders, RFIs, submittals, change orders, permits, inspections, safety documentation, and closeout materials.
- Resolve routine coordination issues by following up with internal partners, vendors, Accounting, Procurement, Facilities, and Project Managers to keep documentation, approvals, and project handoffs moving forward.
- Facilitate weekly and monthly project status reporting, KPI updates, executive summaries, and dashboard inputs that communicate project progress, risks, and opportunities clearly and accurately.
- Coordinate administrative functions, meeting logistics, travel support, and team communication as needed.
- Maintain organized project files and documentation repositories with accurate, current information.
- Support vendor onboarding, contract execution, procurement follow-up, and project closeout reconciliation.
- Assist with monthly project financial forecasts and cost projections using inputs from Project Managers.
- Recommend practical improvements to reporting templates, documentation workflows, and project tracking practices.
You will come with
- Associate or Bachelor’s degree in Business Administration, Construction Management, Finance, Accounting, Management, or a related field preferred.
- Equivalent relevant work experience may be considered.
- 1–4 years of experience in project coordination, project controls, construction administration, financial analysis, construction accounting, procurement, or a related support function.
- Experience supporting commercial, industrial, infrastructure, or civil construction projects preferred.
- Experience preparing reports, tracking budgets, coordinating documentation, or supporting cross-functional stakeholders.
- Advanced Microsoft Excel and Microsoft Office Suite skills; ability to organize, validate, and summarize project data.
- Power BI or comparable reporting/dashboard tools preferred.
- Autodesk Construction Cloud or comparable document management system experience preferred; training will be provided.
- Medius or comparable procurement/invoice workflow system experience preferred; training will be provided.
- Ability to manage multiple priorities, follow up on open items, and maintain documentation accuracy in a fast-paced environment.
