Description
🚀 NetWorth Realty of Tampa is seeking a Transaction Coordinator!
Are you the glue that holds everything together? The person who magically knows where every file, form, and missing pen is? Can you juggle chaos, keep things organized, and still answer the phone with a cheerful “Hello!”? In this role, you’ll handle everything from real estate transactions to office admin wizardry, ensuring the team runs like a well-oiled machine. If you’re tech-savvy, detail-oriented, and can put out (figuratively) fires while keeping your cool, this job is for you!
What You’ll Be Doing (Besides Being Awesome):
👥 Recruiting and Hiring:
Manage the candidate experience from application through onboarding, ensuring timely communication and a positive hiring experience every step of the way.
Review incoming applications, screen candidates, and coordinate interviews with the manager to identify qualified talent and move candidates efficiently through the hiring process.
Maintain accurate candidate records and update hiring pipelines within the applicant tracking system.
Schedule interviews and prepare candidate materials, coordinating calendars and providing everything needed for a smooth interview process.
Coordinate new hire paperwork, start dates, and onboarding to ensure new team members feel welcomed, prepared, and set up for success.
Promote open positions through job postings, outreach, and recruiting platforms to help attract qualified candidates.
🏡 Transaction Coordination:
Manage the contract-to-close process, helping ensure each transaction progresses smoothly and important deadlines are met.
Serve as the primary point of communication between the office, corporate team, agents, lenders, escrow companies, and other parties involved in transactions.
Gather and organize transaction documents, including funding packets, earnest money deposits, disclosures, and closing paperwork.
Upload completed property files and maintain organized electronic filing systems.
Track transaction deadlines and key milestones, including inspection periods, earnest money due dates, and closing schedules, to help ensure smooth and timely closings.
📝 Administrative Mastery:
Answer incoming calls with a courteous, friendly, and professional demeanor.
Maintain and organize office supplies, order inventory, and coordinate office equipment maintenance.
Sort and distribute incoming mail and process outgoing mail.
Manage office calendars, scheduling appointments and meetings for the manager and associates.
Perform clerical duties such as data entry, document filing, and preparing correspondence, forms, and reports.
Deposit checks and assist in tracking incoming wires.
Create and maintain databases for office metrics, team performance, and property profit analysis.
Record and submit monthly expenses through Expensify.
Manage office subscriptions and recurring services, including internet, water delivery, RMLS dues, and other vendor accounts.
🎉 Client, Vendor & Event Coordination (a.k.a. Keeping Things Fun & Functional):
Coordinate with utility companies following property closings to help ensure account accuracy.
Order and distribute gifts for clients and office team members, helping recognize milestones and create a positive experience.
Coordinate with photographers and other vendors to support property listings and office needs.
Help maintain exceptional service standards for clients and business partners through timely and professional communication.
Coordinate office events, client appreciation events, sponsored events, dinners, and outings.
Plan travel arrangements for manager meetings and office trips.
Organize and support weekly office meetings.
Help foster a positive, organized, and energetic office culture.
What We’re Looking For:
✔️ Fluent in English
✔️ A high school diploma or equivalent is required
✔️ At least one year of office, clerical, administrative, or real estate industry experience required
✔️ Recruiting and/or hiring experience is a plus!
✔️ Proficient in Microsoft Office and other related software (Excel doesn’t scare you, right?)
✔️ Excellent verbal and written communication skills — you can write a great email and hold a conversation
✔️ Exceptional organizational skills with attention to detail (color-coded spreadsheets? Yes, please)
✔️ Ability to multitask and manage time effectively, with a proven ability to meet deadlines
✔️ Strong interpersonal and customer service skills
✔️ Ability to lift 25 lbs (those office supply boxes won’t move themselves)
✔️ Ability to sit at a desk and work on a computer screen for extended periods
✔️ Must work in-person at the office Monday-Friday from 9 AM - 5 PM
