Job Title: AIDE OPERATIONS & TRAINING COORDINATOR

Location: Fort Smith Corporate Office

Position Summary:

We are seeking a compassionate and dedicated Aide Operations & Training Coordinator to oversee scheduling and training for all Personal Care Aides, Home Health Aides, and Certified Nursing Assistants. 


Key Responsibilities:

  • Scheduling: Develop, create, and maintain accurate schedules within software such as Authenticare and MatrixCare EMR systems to meet both patient and staffing requirements. Assist with monitoring aide hours, commute time, and training time.
  • Rapid Response: Coordinate covering shifts due to employee absence or call-out, including providing services to patients when no aide is available to ensure consistent coverage and rapid response to call-outs.  
  • Employee Training: Develop and implement orientation and training for all new PCA/HHA/CNAs, including, but not limited to, proper use of applications required and skill expectations for each role. Responsible for monitoring aide performance via routine aide check-ins, field visits, and performance evaluations to ensure care plans are followed. Assists with scheduling and preparing topics for Aide In-Service trainings throughout the calendar year. 
  • Communication: Serve as the primary point of contact between patients and families, responding to service concerns, inquiries, and feedback in a prompt and professional manner. 
  • Interdepartmental Coordination: Collaborate with leadership across multiple programs to ensure consistent coverage is provided to all program patients. 
  • Reporting: Report privacy violations to Nursing Supervisor and Compliance Officer. 
  • Professional Conduct: Maintain a positive, professional attitude and project a caring image. Wear company-issued ID at all times while on duty.
  • Other Duties: Perform additional duties as assigned to support departmental operations and organizational objectives.

Requirements

  • Minimum of High School Diploma or equivalent required. 
  • Either minimum 75-hour Home Health Aide (HHA) training certificate OR valid Certified Nursing Assistance certificate issued from the State of Arkansas is required.
  • Experience with Authenticare and MatrixCare EMR or similar systems strongly preferred. 
  • Demonstrable experience in scheduling employees. 
  • Must possess a valid driver’s license. 
  • Reliable transportation and proof of state required vehicle insurance. 
  • Excellent verbal and written communication skills.
  • Excellent organizational skills.
  • Proficient computer skills, including MS Word and Excel. 
  • Ability to interact and communicate with all levels of employees throughout the organization. 
  • Current negative TB skin test or state health card.
  • Current certification in CPR/First Aid or ability to become certified within 60 days of hire. 
  • Must pass required background checks, maltreatment checks, and drug screening
