The Client Billing Specialist is responsible for managing accurate and timely client billing, maintaining customer accounts, resolving billing discrepancies, and supporting the overall accounts receivable process. This position works closely with clients and internal departments to ensure invoices are accurate, payments are properly applied, and billing questions are resolved promptly.
The ideal candidate is highly organized, detail-oriented, comfortable working with financial data, and committed to providing excellent customer service.
Key Responsibilities
- Prepare, review, and process client invoices accurately and within established billing schedules.
- Maintain client billing information, account records, pricing, contracts, purchase orders, and supporting documentation.
- Review invoices for accuracy, including rates, quantities, discounts, taxes, credits, and other billing requirements.
- Submit invoices through customer portals, email, EDI, or other required billing platforms.
- Monitor customer accounts and identify outstanding balances, billing discrepancies, or payment issues.
- Research and resolve client billing inquiries, disputes, short payments, and invoice discrepancies.
- Process billing adjustments, credit memos, rebills, and account corrections as needed.
- Partner with Sales, Customer Service, Operations, Finance, and Accounts Receivable teams to resolve billing issues.
- Assist with cash application and payment reconciliation as needed.
- Maintain accurate records of billing activities and client communications.
- Review aging reports and follow up on outstanding invoices when appropriate.
- Assist with month-end billing activities, account reconciliations, and reporting.
- Ensure billing activities comply with company policies, contractual requirements, and established financial controls.
- Identify opportunities to improve billing accuracy, efficiency, and processes.
- Provide professional and responsive service to internal and external customers.
- Perform additional accounting and administrative duties as assigned.
Minimum Qualifications
- Associate or bachelor’s degree in accounting, Finance, Business Administration, or a related field preferred.
- 2–4 years of experience in billing, accounts receivable, accounting, finance, or a related position.
- Experience working with high-volume or complex client billing is preferred.
- Strong Microsoft Excel skills and proficiency with Microsoft Office.
- Experience with ERP, accounting, or billing systems such as SAP, Oracle, NetSuite, Microsoft Dynamics, or similar systems is preferred.
- Strong attention to detail and a high level of accuracy.
- Excellent organizational and time-management skills.
- Strong analytical and problem-solving abilities.
- Ability to research and resolve billing discrepancies independently.
- Excellent written and verbal communication skills.
- Strong customer service skills with the ability to communicate professionally with clients regarding sensitive financial matters.
- Ability to manage multiple priorities and meet billing and month-end deadlines.
Pay Range
