Job Description

A Glimpse of the Job

Finance and Business Services (FBS) is seeking a detail-oriented and customer-focused Contract Administrator to support the review, analysis, and administration of business and service contracts across multiple Texas A&M institutions. This position plays a critical role in ensuring contracts align with university business needs while maintaining compliance with state statutes, Texas A&M University System requirements, and university policies.

This position may be filled at the FBS Contract Administrator I, II, or III level depending on the selected candidate's qualifications and experience.

What You'll Do

As a Contract Administrator, you will partner with campus stakeholders, external offices, and university leadership to facilitate contract review and execution processes while providing exceptional customer service and guidance.

Key Responsibilities

  • Review and analyze business and service contracts to ensure compliance with applicable state laws, Texas A&M University System guidelines, and university requirements.

  • Support contract negotiations and identify contract language that may present risk or operational concerns to the university.

  • Partner with key external stakeholders, including the Texas A&M University System Office of General Counsel, Real Estate Office, Procurement Office, and other business partners throughout the contract review process.

  • Ensure contracts are processed and executed in accordance with the President's Delegation of Authority for Contract Administration.

  • Maintain accurate contract records and negotiation documentation within the contract management system. 

  • Serve as a customer service resource for contract management system users, providing guidance, status updates, and support throughout the review process.

  • Interpret and apply university regulations, business policies, and contract management procedures to support sound decision-making

  • Participate in process improvement initiatives, departmental projects, training activities, committees, and collaborative workgroups as appropriate.

Additional Responsibilities by Level

Level I

  • Performs initial reviews of routine and template-based contracts.

  • Escalates non-standard terms and complex issues to senior staff.

  • Assists with reporting, documentation, and contract administration activities

Level II

  • Independently reviews and negotiates contract terms.

  • Exercises judgment in resolving routine contract issues and negotiations.

  • Represents the department through committee participation and stakeholder engagement.

Level III

  • Performs advanced review and analysis of complex contracts.

  • Exercises significant independent judgment and delegated decision-making authority.

  • Provides leadership and guidance on contract review processes and compliance matters.

  • Represents the department in high-level committees and stakeholder interactions.

Salary: Commensurate with experience

Minimum qualifications for a FBS Contract Administrator I: Bachelor's degree in Accounting, Business, Finance, or an equivalent combination of education and experience AND no experience required.

Minimum qualifications for a FBS Contract Administrator II: Bachelor's degree in Accounting, Business, Finance, or an equivalent combination of education and experience AND two years of related experience.

Minimum qualifications for a FBS Contract Administrator III: Bachelor's degree in Accounting, Business, Finance, or an equivalent combination of education and experience AND four years of related experience.
