About the Client
Our Client is a premier home services and trades company operating on the Nexstar service system and utilizing ServiceTitan and QuickBooks Online (QBO) to power its operations. Dedicated to delivering world-class customer experiences and maintaining rigorous operational standards, they rely on absolute financial accuracy to protect company assets and drive profitable growth. To ensure 100% real-time financial intelligence and safeguard their financial health, they require an experienced financial controller to oversee accounting architecture, cash stewardship, data synchronization, and payroll governance.
Our Client is seeking a detail-driven, system-oriented Controller & HR Operations Manager to serve as the single point of truth for all financial operations, general ledger integrity, and Gusto payroll administration. Reporting directly to the company owner, this professional will bridge operational field data in ServiceTitan with accounting structures in QBO, enforce internal purchasing controls, maintain rolling cash flow models, and optimize financial metrics toward a 20% EBITDA target. Operating full-time during standard US business hours, this leader will own system execution, audit overhead, and maintain the agency’s Financial Operations Manual.
Key Responsibilities
Strategic Financial Architecture & Business Intelligence

Maintains a rolling 13-week cash flow forecast, performing monthly Budget-vs-Actual variance analyses and recommending capital stewardship strategies to optimize Net Working Capital.

Leads weekly reconciliations between ServiceTitan and QuickBooks Online (QBO), investigating root causes for data drift and establishing permanent mapping rules across Pricebooks, Chart of Accounts, and General Ledger (GL) classifications.

Analyzes departmental efficiency metrics (gross profit margin per technician, unapplied labor, callback costs, and gross margin variances) to provide actionable recommendations for pricing models and billable efficiency.

Authors, updates, and enforces the company’s Financial Operations Manual, ensuring all financial processes are fully documented, turn-key, and person-independent.

Serves as system administrator for Gusto, managing administrative integrity, hours tracking, compensation updates, benefit deductions, and payroll ledger accuracy (excluding recruiting and local HR compliance).
Tactical Execution, Reporting & Compliance Standards

Delivers weekly financial intelligence dossiers, including AR Aging Reports (Mondays by 10:00 AM), Collections & Deposit Reports (Tuesdays by 10:00 AM), AP Spreadsheets (Wednesdays by 10:00 AM), and L10 GM Variance Summaries (Mondays COB).

Provides daily morning briefings to the owner before 8:30 AM confirming daily revenue, net cash positions, uncaptured deposits, and ServiceTitan PACE dashboard accuracy.

Finalizes month-end financial reporting packages (P&L, Balance Sheet, Statement of Cash Flows) by the 5th business day of each month, performing weekly soft closes to track MTD performance.

Audits weekly payroll inputs by Thursday at 8:30 AM and completes transmission by 12:00 PM, conducting monthly payroll-to-ledger audits to verify 100% labor-burden allocation accuracy.
Internal Controls, Purchasing & Inventory Governance

Enforces three-way matching (PO + Bill of Lading + Invoice) on all procurement actions prior to releasing payments.

Audits commercial card expenditures (Ramp) weekly to confirm 100% digital receipt attachments, correct GL coding, and compliance with the $200 individual transaction limit.

Reconciles physical inventory counts against ledger balances to ensure truck stock and warehouse asset values are accurately reflected on the Balance Sheet.

Audits all CRM and QBO invoices against company data standards to guarantee billing accuracy, zero unreconciled bank balances, and prompt resolution of payment disputes within 72 hours.
Qualifications, Skills, and Key Competencies
Required Qualifications

Accounting & Financial Control Track Record: 5+ years of experience as a Financial Controller, Finance Manager, or Senior Accountant supporting US-based operating companies.

ServiceTitan & QBO Mastery: Demonstrated expertise managing financial reconciliations, Pricebook mapping, GL chart accounts, and revenue allocation between ServiceTitan and QuickBooks Online.

Payroll System Governance: Hands-on experience administering Gusto (or similar US payroll platforms) for time-tracking audits, benefit deductions, and payroll-to-ledger allocations.

Advanced Cash Flow Modeling & Reporting: Mastery of 13-week rolling cash flow forecasting, Budget-vs-Actual variance reporting, gross margin tracking, and financial package preparation (P&L, Balance Sheet, Cash Flow Statement).

Strict Internal Controls Discipline: Proven track record enforcing purchasing frameworks, three-way matching, inventory/truck-stock reconciliations, and card audit protocols (e.g., Ramp).

Schedule & Communication Alignment: Availability to work Monday through Friday, 8:00 AM to 5:00 PM US time, with strict adherence to fast response times (acknowledging Slack inquiries within 5 minutes during core hours).

Remote Infrastructure Setup: Dedicated quiet home office, personal computer, professional headset, and high-speed, reliable internet connection.
Preferred Qualifications

Prior accounting or controller experience within home services, trades (HVAC, plumbing, electrical), or field-service businesses.
