Description
The Inside Sales Representative / Material Coordinator is responsible for providing exceptional customer service, sales support, inventory coordination, shipping and receiving activities, and warehouse support. This role serves as a key link between customers, vendors, Account Managers, and operations personnel to ensure timely order fulfillment and customer satisfaction.
The position combines inside sales responsibilities with material coordination functions and plays a critical role in supporting branch operations, inventory accuracy, and customer relationships.
Essential Duties and Responsibilities
Customer Service & Sales Support
- Receive and process customer orders via phone, email, customer portals, and walk-in inquiries.
- Provide order status updates, pricing information, and product availability.
- Prepare and process quotations.
- Assist customers with product selection and technical recommendations.
- Process returns, credits, and exchanges.
- Partner with Account Managers to support customer accounts and sales growth.
- Develop and maintain professional relationships with customers and vendors.
- Resolve customer concerns and escalate issues when appropriate.
Material Coordination & Inventory Management
- Coordinate the flow of materials, parts, and assemblies to support customer orders and operational requirements.
- Receive, inspect, and verify incoming shipments.
- Process outbound shipments accurately and on time.
- Maintain inventory accuracy through cycle counts and inventory reconciliation.
- Assist with annual physical inventory counts.
- Research and resolve inventory discrepancies.
- Coordinate transfers and movement of materials within the facility.
- Support inventory replenishment activities as needed.
Shipping, Receiving & Warehouse Operations
- Prepare shipments using approved carriers and shipping systems.
- Coordinate domestic and international shipments as required.
- Prepare shipping documentation including packing slips, bills of lading, and related paperwork.
- Maintain organized warehouse, stock, dock, and staging areas.
- Operate material handling equipment in accordance with company guidelines.
- Ensure shipping and warehouse equipment are maintained and operating properly.
- Assist with customer pickups and will-call orders.
- Follow all safety procedures and identify unsafe conditions when observed.
Administrative & Operational Support
- Maintain accurate records within order management and inventory systems.
- Support branch operations through cross-functional collaboration.
- Assist with special projects and operational initiatives.
- Participate in training and professional development opportunities.
- Perform other duties as assigned.
Requirements
Position Requirements
- High School Diploma or GED required.
- Previous customer service, inside sales, warehouse, inventory, or branch operations experience preferred.
- Strong communication and interpersonal skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong organizational and problem-solving abilities.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Experience using ERP or order management systems preferred.
- Ability to work independently while contributing to a team environment.
