We are recruiting for a Bilingual Specialist, Total Rewards to join our team in our Montreal office. The successful candidate must have a minimum of 3 years of experience in benefits administration and will be responsible for administering and communicating firm benefit programs and pension plans by efficiently handling inquiries, processing enrollments, leading orientation sessions, and ensuring compliance with regulatory requirements.
The salary range for this role is $65,000 - $75,000 annually. The final offer will be determined based on the candidate’s skills, experience, and job-relevant knowledge. Please note that this range is intended to provide guidance; actual compensation may vary within this range depending on the qualifications and expertise of the selected candidate. This position is to fill an existing vacancy.
As a Bilingual Specialist, Total Rewards, you will:
Benefits program administration - Efficiently and accurately provide responses to questions submitted to the Total Rewards Centre of Expertise via our dedicated HR Services inbox and Service Now.
- Assign requests received through the HR Services email inbox or via ServiceNow to the various team members involved in these activities.
- Process requests on all benefit-related matters from all members of the firm, as well as retirees
- Responsible for timely administration of Firm benefit programs such as coordinating wellness, technology, tuition reimbursement programs, corporate agreements and discounts updates, etc.
- Update the various eligibility lists for our benefit programs with our suppliers (employee and family assistance program, telemedicine, annual medical examination, etc.) at a set regular frequency.
- Process of monthly invoices from benefit suppliers
- Provide logistic and administrative support to the team
- Ensure the accessibility and accuracy of information on employee benefits in the documentation provided to firm members (Espresso and official documents)
- With the assistance of the Manager, Total Rewards, complete all monthly and annual recurring activities of the centre of expertise within the prescribed timeframes.
Benefits onboarding session - Facilitate orientation sessions on employee benefits for new firm members
- Coordinate and lead bi-weekly new-hire benefits orientation sessions, for our staff members and associates
- Send relevant communication to Firm members to ensure that they take the appropriate actions in Workday for their enrollment and follow up accordingly
Pension and retirement savings plans
- Manage in-year and annual enrolments, transfers, and member communications for the DC pension and Group RRSP (Sun Life, Canada Life, National Bank Trust).
- Track weekly RRSP enrolments to ensure appropriate actions are taken by our Firm members and process Defined Benefit plan settlements and estimates.
- Support pension-plan regulatory filings across Ontario (FSRA), British Columbia, and Quebec.
Continuous improvement & projects
- Optimize benefits-related processes by creating Standard Operating Procedures (SOP).
- Support broader Total Rewards initiatives and projects.
As our ideal candidate, you will distinguish yourself by the following profile:
- Bachelor's degree in administration or human resources, or other equivalent education relevant to the role.
- Bilingualism (English and French) both spoken and written is required.
- Minimum three years of experience in a similar position linked to benefits administration.
- Proven experience utilizing Workday, especially within the Benefits module.
- Proficiency in Microsoft Office suite software, including Excel at an intermediate level.
- Excellent time management and planning skills to manage workload fluctuations, and must be able to meet critical deadlines.
- Great attention to details and proactive to carry out job responsibilities with minimal supervision
- Works well under pressure within non flexible deadline and adjusts to changing needs of the Firm.
- Experience in a fast-paced environment
- Personable, approachable disposition; has strong professional acumen.
- Able to handle confidential information, exercising tact and discretion in dealing with people and/or sensitive issues.
