Description
Position Summary
WeDriveU is seeking an experienced Workday Functional Consultant to serve as the internal functional lead for the company's Workday implementation. This individual will partner with Human Resources, Payroll, Benefits, Talent Acquisition, Operations, Finance, Information Technology, and the implementation partner to translate business requirements into practical and scalable Workday solutions.
The Workday Functional Consultant will help lead process discovery, requirements gathering, solution design, configuration review, testing, data validation, training preparation, and implementation readiness. The position will represent WeDriveU's operational and functional needs throughout the project and help ensure that the new system supports both current requirements and the company's future operating model.
This is a hands-on implementation position. The successful candidate must be able to understand business processes, challenge unnecessary complexity, document decisions, evaluate proposed configurations, and help functional leaders make informed design decisions.
This is a fixed-term position expected to last approximately 12 to 18 months based on implementation needs. The position is expected to conclude after implementation, stabilization, knowledge transfer, and transition activities are completed.
Essential Responsibilities
• Serve as WeDriveU's internal functional lead throughout the Workday implementation.
• Partner with HR, Payroll, Benefits, Talent Acquisition, Onboarding, Operations, Finance, IT, and other stakeholders to understand current processes, requirements, challenges, and desired outcomes.
• Lead and participate in discovery sessions, design workshops, process reviews, and configuration discussions.
• Translate business requirements into clear functional requirements, process designs, configuration decisions, and testing scenarios.
• Evaluate current business processes and recommend where processes should be simplified, standardized, redesigned, or retained.
• Review proposed Workday configurations to confirm they align with approved business requirements and operating practices.
• Support functional design across applicable Workday areas, which may include:
– Core Human Capital Management
– Organizational structures
– Staffing and job management
– Recruiting
– Onboarding
– Compensation
– Benefits
– Time tracking
– Absence
– Payroll-related processes
– Talent and performance
– Security roles and business process approvals
– Reporting and dashboards
• Identify dependencies and cross-functional impacts between Workday modules and business processes.
• Maintain functional requirements, configuration workbooks, process maps, design decisions, issue logs, and other implementation documentation.
• Partner with the Technical Integration Lead on data requirements, integrations, reporting needs, security considerations, and downstream system impacts.
• Support data mapping, conversion validation, reconciliation, and data-quality reviews.
• Develop functional test scenarios and expected results for unit testing, end-to-end testing, payroll parallel testing, regression testing, and user acceptance testing.
• Coordinate with business process owners to ensure testing is completed accurately and within established timelines.
• Document defects, evaluate their operational impact, and work with the implementation partner and technical resources to resolve them.
• Help define security roles, approval structures, delegated responsibilities, and appropriate separation of duties.
• Support change-impact assessments by identifying how processes, responsibilities, and user experiences will change.
• Assist with the development of training materials, process documentation, job aids, and standard operating procedures.
• Prepare internal administrators and functional owners to support Workday following go-live.
• Participate in cutover planning, go-live readiness reviews, stabilization activities, and post-implementation support.
• Identify risks, gaps, unresolved decisions, and potential scope changes and escalate them promptly.
• Promote standardized processes, accurate data, strong controls, and a sustainable Workday operating model.
• Perform other implementation-related responsibilities as assigned.
Required Qualifications
• Bachelor's degree in Human Resources, Business Administration, Information Systems, Finance, or a related field, or equivalent relevant experience.
• At least five years of experience working with HR, payroll, HRIS, enterprise systems, or related business processes.
• At least three years of direct Workday functional experience.
• Experience participating in at least one full Workday implementation lifecycle, from discovery and design through testing and go-live.
• Hands-on experience with Workday business process configuration, organizational structures, security concepts, reporting, and functional testing.
• Experience gathering requirements and translating business needs into system or process solutions.
• Strong understanding of HR and employee lifecycle processes.
• Demonstrated experience facilitating discussions with both technical and nontechnical stakeholders.
• Strong documentation, analytical, problem-solving, and organizational skills.
• Ability to manage multiple workstreams, decisions, issues, and deadlines simultaneously.
• Ability to communicate clearly with employees at all organizational levels.
• Ability to work effectively with an external implementation partner while representing the company's interests and requirements.
Preferred Qualifications
• Workday certification or Workday Pro accreditation in one or more relevant functional areas.
• Experience with a Workday HCM and payroll implementation involving a complex, geographically dispersed, hourly, or frontline workforce.
• Experience with union, multi-state, transportation, or regulated work environments.
• Experience transitioning from ADP or another enterprise HR and payroll platform to Workday.
• Experience with Workday Recruiting, Onboarding, Time Tracking, Absence, Benefits, Compensation, Payroll, Talent, or Performance.
• Experience with data conversion, payroll parallel testing, security design, reporting, or change management.
• Experience supporting an organization through post-go-live stabilization and transition to an internal support model.
Workday certification is preferred but not required. Access to Workday certification is often limited to individuals with prior employment at a Workday customer or partner, so equivalent hands-on Workday experience will be considered in place of formal certification.
Knowledge, Skills, and Abilities
• Strong knowledge of Workday HCM concepts and implementation practices.
• Ability to understand both business requirements and system functionality.
• Ability to identify unnecessary customization and advocate for sustainable solutions.
• Strong facilitation and stakeholder-management skills.
• Sound judgment and the ability to identify when decisions require executive or project governance review.
• Ability to explain Workday concepts in practical business language.
• High attention to detail, particularly when reviewing configuration, employee data, security, and testing results.
• Ability to work independently while contributing effectively within a cross-functional project team.
