Position Summary
Our client is seeking a motivated and detail-oriented Assistant Property Manager to support the management of a diverse portfolio of residential and commercial properties located in Etobicoke. The successful candidate will work closely with the Property Manager to ensure the efficient day-to-day operation of the portfolio, maintain strong tenant relationships, coordinate maintenance and service requests, and support financial and administrative functions.

Key Responsibilities
Property Operations
- Assist in the day-to-day management of residential and commercial properties.
- Conduct regular property inspections to ensure buildings, common areas, and grounds are maintained to company standards.
- Coordinate maintenance requests, work orders, and service calls with tenants, contractors, and on-site staff.
- Monitor and follow up on preventative maintenance schedules and capital projects.
- Assist with vendor management, including obtaining quotations, scheduling work, and ensuring service quality.
Tenant Relations
- Serve as a primary point of contact for residential and commercial tenants.
- Respond promptly and professionally to tenant inquiries, concerns, and service requests.
- Assist with tenant move-ins, move-outs, and occupancy-related matters.
- Support lease administration and ensure compliance with lease obligations.
- Foster positive tenant relationships to promote tenant satisfaction and retention.
Financial & Administrative Support
- Assist with rent collection, arrears follow-up, and tenant account reconciliation.
- Support budget preparation and monitor operating expenses.
- Review and process invoices, purchase orders, and contractor payments.
- Maintain accurate property records, tenant files, contracts, and correspondence.
- Prepare reports and documentation for ownership and management review.
Compliance & Risk Management
- Assist in ensuring compliance with applicable legislation, building codes, health and safety regulations, and company policies.
- Support fire and life safety inspections and maintain related documentation.
- Coordinate insurance claims and incident reporting when required.
General Support
- Provide administrative support to the Property Manager and management team.
- Assist with special projects, tenant communications, and operational initiatives.
- Participate in after-hours emergency response on a rotational basis, as required.
Qualifications
- Minimum 2–5 years of property management experience, preferably within mixed residential and commercial portfolios.
- Post-secondary education in Property Management, Business Administration, Real Estate, or a related field is considered an asset.
- Working knowledge of residential tenancy legislation and commercial lease administration.
- Strong understanding of property operations, maintenance coordination, and tenant relations.
- Experience with property management software and Microsoft Office Suite.
- Valid Ontario Driver’s License and access to reliable transportation preferred.
