Description

Overview

The Program on Science and Global Security, a center within the Princeton School of Public and International Affairs, seeks to hire a Program Manager to support faculty members and researchers working on scientific, technical, and policy research, analysis, and outreach initiatives that advance policies for a safer and more peaceful world.

The ideal candidate would be able to take on a wide range of tasks, including (1) budgeting, labor accounting, (2) grant management and applications, (3) recruitment and hiring of staff, including onboarding and working with vendors and contractors, and (4) program administration, reporting, communications, and event planning.

Responsibilities

Budget and Finance: The position develops and implements the programs operational budget, in close collaboration with faculty. This includes management of fund accounts from several donors, which are earmarked for specific purposes. The position advises the faculty on current spending levels and available funds, and is responsible for careful and appropriate financial management. The position monitors spending and provides regular, timely analysis and multi-year projections of the available funds. Utilize Concur and Prime Financial systems to review and approve credit card payments and requisitions, and submit journal entries for moving funds and expenses as needed.

Grant Management and Applications: The position develops budgets for new research grants, compiles grant application materials, drafts contractual arrangements with collaborating institutions, tracks expenditures, supervises subcontracts and agreements with outside institutions, submits requests for no-cost extensions, coordinates production of interim and final reports, and donor reporting for grants. Funding partners generally are nonprofit foundations. Collaborates with SPIA’s Financial Management Office, Princeton's Office of Research & Project Administration, and Sponsored Research Accounting.

Recruitment and hiring of staff: The position assists faculty affiliates with hiring staff, postdoctoral, predoctoral, and visiting researchers, casual hourly staff or student research assistants as needed, working with the Dean of the Faculty and submitting in the Interfolio system. The position supervises entries in the Time Collection and Labor Accounting systems, and tracks human resource expenditures within projects.

Program administration: Reporting, communications, and event planning. Managing office space and equipment, and communicating with Facilities regarding maintenance requests, repairs, furniture needs, building access, office renovations, and other facilities-related issues. Helping maintain the SGS website, which includes posting news items, announcements, events, and maintaining personal pages on the site. Helping develop the Program’s social media; gathering, organizing, and preparing materials for the Program’s Annual Report; and coordinate with the office of Printing and Mailing and outside printing contractors; backup support of the SGS Administrative Assistant who handles event planning (seminars, workshops, and other events); help draft reports to donors and SPIA (such as the Program Portal). Support donor outreach efforts by compiling and maintaining donor lists, tracking and acknowledging contributions. Coordinate with outside contractors, draft and submit service agreements and statements of work, create requisitions for purchase orders, process invoices, and work with multiple University offices—such as the SPIA Finance Office and Risk Management—to obtain the necessary approvals and ensure compliance with University policies.
